A Brief Overview
The HIM Release of Information Coordinator plays a key role in managing and overseeing the Release of Information (ROI) process, ensuring compliance with state and federal privacy regulations. This position provides subject matter expertise, supports staff training and development, and maintains consistency in ROI practices. Additionally, the Coordinator is responsible for managing workflow processes related to the processing, auditing, and dissemination of medical records, ensuring that turnaround times and operational goals are met. This role requires strong communication, organizational, and operational management skills to effectively coordinate staff, schedules, and departmental projects while also assisting with customer service coverage and performance reporting.
What you will do
- Demonstrates and maintains subject matter expert knowledge of multiple various Electronic Health Record (EHR) systems, including multiple legacy record keeping systems regarding the legal Designated Record Set. This includes subject matter expert in use of peripheral equipment such as scanners, printers, fax machine, photocopier, microfilm reader-printer, electronic data flow software.
- Ensures appropriate incorporation, interpretation, and workflow processes according to multiple state and federally regulated ROI practices, including but not limited to: HIPAA, 21st Century Cures Act (information blocking), Behavior Health, Addiction Care, etc. This includes assistance with Legal and Risk Service litigation requests.
- Assists in monitoring various ROI Tracking systems (Outsource ROI software, internal ROI Excel Trackers, etc.) and their operational workflows, advising management on system functionality issues and/or optimization opportunities.
- Mentor staff and be a resource of HIM content. Orient, train, and educate new employees as assigned.
- Track day-to-day overall ROI workflow and intervene and implement solutions to ensure that turnaround times are met. Adapts and flexibility to daily changes in workflow and independently rotates between tasks to support teamwork and ensure ROI Department goals and objectives are met.
- Perform standard ROI functions and handle special projects as needed to maintain operation efficiency and effectiveness.
- Serves as liaison for any Patient Relations issues to address any patient concerns involving the disclosure of Medical Records and escalates any significant issues to leadership.

Preferred Education, License/Certification, or Work Experience:
- Associate's in health information administration from an American Health Information Management Association (AHIMA) accredited school.
- 1-3 years Health information management experience in a healthcare setting, or an equivalent combination of education and experience.
