What You'll Do
Keep Our Fleet Road-Ready & Compliant
- Manage vehicle licensing, registrations, and permits for our entire fleet-company trucks and owner-operators
- Process annual compliance filings including UCR registrations and Federal Highway Use Tax (Form 2290)
- Track registration renewals and ensure nothing lapses or expires
- Handle specialized registrations like CARB, TRU units, and electronic bypass devices
- Stay on top of regulatory changes and implement updates as needed
Support Driver Safety & Compliance
- Administer Annual Driver Reviews and Motor Vehicle Record (MVR) checks
- Monitor driver credential expiration dates (CDL licenses, medical certificates, endorsements)
- Update safety management systems with current driver information
- Review safety performance history of new driver applicants
- Coordinate with HR and hiring managers on driver qualification files
- Track compliance metrics and alert management to upcoming expirations
Maintain Accurate Systems & Records
- Keep equipment data current in TMT and TMW transportation management systems
- Maintain organized filing systems for audits and DOT inspections
- Audit records regularly to catch and fix discrepancies
- Prepare compliance reports highlighting deadlines and potential issues
- Support DOT audits by providing complete, accurate documentation
Collaborate Across Departments
- Work with Operations to ensure equipment data supports efficient dispatching
- Coordinate with Accounting on compliance-related payments and filings
- Partner with Safety team on driver qualification tracking
- Communicate with state agencies, regulatory bodies, and vendors
Requirements
What We're Looking For
Accountabilities:
- Maintain accurate vehicle licensing, registrations, and permits for entire fleet
- Process federal compliance filings on time without penalties or lapses
- Monitor driver credential expirations and ensure current qualifications
- Keep equipment data accurate across all systems (TMT, TMW, tracking systems)
- Maintain audit-ready filing systems and documentation
- Prepare compliance reports for management review
- Coordinate effectively with Operations, Accounting, Safety, and external agencies

What You Bring
- Associate's Degree in Accounting, Business Administration, or related field; OR equivalent work experience
- 1+ years of experience with vehicle licensing and permit administration
- Knowledge of UCR filings and federal highway use tax (Form 2290)
- Proficiency with Microsoft Office Suite (especially Excel for tracking and reporting)
- Strong attention to detail with high degree of accuracy
- Excellent organizational and time management skills
- Ability to manage multiple deadlines simultaneously
Preferred:
- Experience with transportation compliance regulations and fleet management
- Knowledge of DOT requirements, CDL regulations, and driver qualification files
- Experience with TMT and TMW transportation management systems
- Familiarity with online registration portals (IRP, state DMV systems)
- Previous experience in transportation industry
