Sales Coordinator

JOB SUMMARY: The Designed Fabrics Sales Coordinator works closely the National MarketManager of Designed Fabrics. This position assists the National Market Manager with dailyresponsibilities that include handling and communicating proprietary/confidential information.This position will help manage key national accounts providing high level of client supportincluding accurate order entry. Interaction will include customer service type communicationswith major customers, distributors, prospects, and field sales representatives. Managementmay assign additional duties as needed.ESSENTIAL FUNCTIONS:1. Will gain expert knowledge of Phifer’s capabilities and product portfolio2. Will communicate with customers, distributors, and prospective customers by email,telephone and fax regarding our products, pricing, orders, credit, etc.3. Will work as a Live chat operator in the Live Help Now system. Will also answer websiteinquiries.4. Will enter and maintain orders in SAP for Designed Fabrics customers, samples, andZLIT literature orders until completion.5. Will communicate with internal customers regarding product specifications, costing,packaging, order status, shipment, credit, etc.6. Will send order confirmations/packing lists and communicate with customers regardingany backorders, expected delivery dates and lead time changes.7. Will enter ECM’s for new products and changes to existing products.8. Will handle complaints about quality or pricing in a professional and prompt manner.Process billing corrections and return authorizations.9. Will maintain customer/prospect database for Designed Fabrics.including outdoormanufacturers/retailers and marine market prospect list.10. Will update list of Designed Fabrics Stock Line and distribute to appropriate personneland customers as needed11. Will process letters regarding pricing for all customers at price increase.12. Will maintain all customer pricing in SAP.13. Will process Customer/Visitor trip requests and agendas14. Will process travel itineraries for the National Market Manager and sales reps.15. Will run reports in MCSI, ZSALE_CUST and ZSALES MATon monthly basis for specificDF customers and product lines.16. Will produce Ningbo production report and distribute17. Will work with Advertising department on Designed Fabrics eblasts and mailings18. Will maintain and update lead time spreadsheets for Chilewich production, Chilewichsamples, Tropitone, Williams Mfg., Patio Parts, Trivantage Awntex , Corinthian andMaharam.19. Will proof all Designed Fabrics literature processed by the Advertising department.20. Will maintain all Designed Fabrics 8”x10” swatches and keep readily available forcustomer requests, including specific sample program for Tropitone.21. Will meet regular and predictable attendance.SPECIAL DEMANDS/RESPONSIBILITIES:1. Must perform job duties in a safe manner2. Must be people oriented, outgoing and have a pleasant personality3. Must possess a professional attitude4. Must complete extensive SAP training for order entry and account maintenance.5. Must convey a sense of teamwork with all membersMINIMUM JOB SPECIFICATION REQUIREMENTS:1. Bachelor’s degree from an accredited college or university in Marketing,Business or closely related field-OR-2. 5+ years’ verifiable sales support, customer service or Administrative Assistant experience-AND-Must score a minimum of 70% on the basic level of Microsoft Office 2016 testing systemfor MS Word, Powerpoint, and Outlook and 70% on the intermediate Excel test
