Summary:

The role of the Senior Hardware and Software IT Asset Specialist is to actively manage all hardware and software assets within the organization. This includes planning, monitoring, and recording software licenses and/or hardware assets to ensure compliance with vendor contracts. The individual will assist in forming procurement strategies to optimize technology spending across the organization. The Senior Hardware and Software IT Asset Specialist will also develop and make recommendations to improve procedures for tracking company assets to oversee quality control throughout their lifecycles. The Senior Hardware and Software IT Asset Specialist will report directly to the Senior Manager/Director of IT Asset Management.

Duties and Responsibilities:

  • Consolidating software records as part of a larger scale

  • Purchasing, Receiving, Tracking, and documenting new and existing software license agreements

  • Build relationships with vendor POCs and other counterparts to effectively work time-sensitive requests.

  • Work with Sr Asset Manager on tracking and documenting project-related software orders

  • Train new team members regarding our software module within ServiceNow platform

  • Perform risk analysis to determine unnecessary waste on unneeded software, hardware & cloud technology.

  • License compliance, AKA 'being audit ready.

  • Utilize reporting and documentation tactics.

  • Purchasing and disposing of software tools,

  • Work with Deskside Support to ensure software is performing as needed,

  • Staying within the organization’s policies, software license compliance, and other software-related activities.

  • Software license audits

  • Developing the software asset management policy in line with the rest of the asset management policies. 

  • Evaluate the software submission, explore if any alternative solutions are already in use in the organization or if a cheaper alternative is available in the market, and efficiently process the request. 

  • Software Asset Management (SAM) accounts for all software, both virtual and non-virtual, along the software lifecycle.

  • Negotiate volume contracts to eliminate or reallocate software licenses that have been underutilized.

  • Work with corporate security and risk practices to ensure that the organization and software are compliant with licensing and security, and not vulnerable to attack.

  • Improve productivity and workflows.

  • Limit the cost of overhead by streamlining IT processes through automation or management, including issue tracking.

  • Establish and maintain processes associated with long-term SAM goals, including acquisition, documentation, deployment, and usage of software.

  • When new software is required, the software asset manager is responsible for coordinating the purchase by working with the senior asset manager, stakeholders, and vendors. 

  • Negotiate software license agreements and get the best option according to the organization's requirements. 

  • Software Harvesting - Upon the departure of staff or disposal of assets, software harvesting must be done to recoup licenses. 

  • Knowledge of ServiceNow application to maintain software licenses, vendors, license counts, policy/procedures, and knowledge-based articles (KBAs)

Education & Experience Requirements:

Experience:

  • 3+ years of IT Asset Management experience required.

  • Strong knowledge of asset management processes and procedures required.

  • Excellent inventory and cost-management skills are required.

  • Experience with various licensing models and understanding of hardware contracts required.

  • Proven conceptual, problem-solving, and analytical skills, ability to communicate sound technical advice to customers, managers, and technical staff required.

  • Excellent communication and interpersonal skills are required.

  • Attention to detail, organizational skills, and the ability to follow established processes.

  • ITAM-specific skills, such as license management

Preferred Experience Requirements:

Education:

  • Bachelor’s Degree

Certifications:

  • Certification in one of the following preferred:

  • CHAMP - Certified Hardware Asset Management Professional certification

  • CSAM (Certified Software Asset Manager certification)

  • CITAM (Certified IT Asset Manager certification)

  • ITIL v3 Foundations or higher

Hiring Range:

$86,000.00 - $90,500.00
