Kalmar is now looking for a Service Operations Administrator. In this vital role, you'll ensure the seamless execution of service contracts and on-call activities by mastering the flow of operational data.
From SAP documentation and timesheet administration to invoicing and site access coordination, you are the key link that enables our field teams to perform at their best. This is a temporary position for 1 year, offering a fantastic "foot in the door" at a global industry leader. We are looking for a high achiever-should you perform well and should business growth continue as anticipated, there is a strong potential to transition this into a permanent role.
What are your key responsibilities:
- Service & SAP Administration: Manage the full lifecycle of service contracts and orders in SAP, including accurate data entry and monthly billing preparation.
- Time & Invoice Management: Verify technician hours, ensure timely SAP entry, and follow up on invoice dispatch and customer confirmations.
- Purchasing Coordination: Handle material requests and RFQs, tracking purchase orders from supplier quotation through to final delivery.
- Site Access & Logistics: Coordinate port and site access for personnel and assets while managing customs documentation for spare parts.
- Stakeholder Liaison: Act as the primary administrative link between field teams, customers, port authorities, and internal departments.
- Compliance & Audit Support: Maintain strict document control, filing, and archiving to ensure traceability and full readiness for internal audits.

What you bring to the role:
- Education: Master's degree in Logistics, Purchasing, Business Administration, or a related field.
- Technical Proficiency: Strong organizational skills with a basic understanding of SAP being a distinct advantage.
- Language Skills: Proficiency in French (spoken and written) and an intermediate level of English.
- Operational Excellence: High attention to detail, accuracy in data management, and strong time management abilities.
- Communication: Excellent coordination skills with the ability to liaise effectively between field teams and customers.
- Mindset: A proactive, problem-solving approach with the ability to work both independently and as part of a diverse team.
