Sr. Payroll and Tax Specialist

Location: This is a hybrid (in-office and remote) role. Selected candidate must live in commutable driving distance to Scottsdale, AZ 85255.

We are looking for a highly skilled Senior Payroll & Tax Specialist responsible for overseeing payroll and payroll tax activities across multiple jurisdictions. Acting as a subject-matter expert, this role ensures accurate, timely, and compliant payroll processing, supports tax filings and audits, and partners with internal teams and external vendors to enhance payroll systems and processes. The incumbent proactively identifies opportunities for process improvements, maintains compliance with evolving regulations, and provides exceptional service to employees and leadership.

What You’ll Do:

• Manage and process multi-state payroll for various locations weekly, ensuring accuracy and timeliness.
• Lead weekly payroll close activities, including file imports, payroll runs, and transmission of tax and garnishment files.
• Approve and process payroll transactions such as stop payments, check reversals, and manual payments.
• Validate payroll data, including per diem and special payments; reissue W-2s as needed.
• Conduct detailed monthly reconciliations of payroll results and employee earnings to ensure data integrity.
• Serve as the primary resource for payroll and tax inquiries from employees and management, resolving issues promptly.
• Oversee garnishment processing, monitor complex cases, and assist with new location setups.
• Investigate and resolve tax notices and amendments, collaborating with third-party administrators and government agencies.
• Manage quarterly and annual payroll tax filings and audits, ensuring timely submissions and accuracy.
• Stay current with payroll tax laws and regulatory changes; advise leadership on impacted processes and systems.
• Partner with HR, Finance, HRIS, and external vendors on system updates, tax configurations, and testing initiatives.
• Document payroll processes, create training materials, and support onboarding.
• Provide outstanding customer service to employees, field leadership, and corporate teams.

What You’ll Bring:

• Minimum of 5 years of progressive payroll and tax experience in a multi-state, multi-entity environment.
• In-depth knowledge of federal, state, local, and jurisdictional payroll tax laws and regulations.
• Expertise with payroll systems, particularly Workday (preferred), and tax services.
• Proven ability to manage complex payroll transactions and identify process enhancements.
• Strong analytical, problem-solving, and critical-thinking skills.
• Ability to coach and mentor team members and lead small projects.
• Excellent communication and interpersonal skills for effective collaboration at all levels.
• Proficiency in Microsoft Office and payroll reporting tools.
• Capable of managing multiple deadlines in a fast-paced environment.
