Position Summary:
The Tax Support Coordinator – Specialty Tax plays a key role in supporting operational efficiency across KSM’s Tax Operations team, with direct responsibilities for both the State & Local Tax (SALT) and Federal Tax practices. This role is ideal for a proactive and detail-oriented individual who thrives in a fast-paced environment, excels at organizing complex workflows, and is motivated to contribute to the success of multiple teams.
You will collaborate closely with tax professionals and leadership to ensure smooth project execution, accurate documentation, timely communication, and exceptional service delivery. Your work will contribute to KSM’s commitment to operational excellence and client service.
Key Responsibilities:
Project & Workflow Coordination
Oversee and maintain team workload management tools (e.g., Trello, Hipporello, or Excel trackers) to monitor ongoing assignments, deadlines, and resource needs.
Identify potential bottlenecks or project delays and proactively communicate issues to team leaders.
Coordinate task assignments and ensure timely execution of recurring and one-time projects across SALT and Federal Tax groups.
Assist with engagement scheduling, including preparation of agendas, recording minutes, and managing follow-ups on action items.
Team & Client Support
Serve as the main administrative contact for tax engagement tracking, engagement letter preparation, client correspondence, and secure document storage.
Provide support for internal and client meetings by managing logistics, distributing materials, taking notes, and tracking action items.
Act as a liaison between team members, internal departments, and clients to gather data, confirm deliverables, and ensure expectations are aligned.
Provide logistical support for internal training and CPE events, including attendee tracking, materials coordination, and post-training documentation.
Communication & Documentation
Keep team members informed of changes to project timelines, responsibilities, or procedures.
Maintain intranet pages and internal team resources with up-to-date content.
Assist with the production and formatting of recurring publications (e.g., weekly tax newsletters) and internal updates.
Document and maintain consistent file naming, folder structure, and access protocols for both SALT and Federal Tax files.
Requirements & Qualifications
Related functional experience: minimum of 2 years
Strong experience in team management and effective resource planning
Good knowledge of Workforce Management tools
Ability to coordinate and maintain follow-up on several projects simultaneously
Strong written and verbal communication skills
Exceptional organizational skills
Ability to handle sensitive situations and confidential information
Proficient skills in Microsoft applications
A high degree of initiative with the ability to think proactively and problem solve
Strong attention to detail and accuracy
Ability to work independently, exercise good judgment, and be resourceful
A strong sense of urgency and the ability to work in an environment with time-sensitive deadlines
