The WMS Support Specialist helps keep our warehouse management system (WMS) running smoothly by providing frontline support to warehouse employees, assisting with data accuracy, and partnering closely with the WMS Analyst on larger system initiatives. This role combines strong warehouse operational knowledge with a willingness to learn system processes, making sure employees have what they need to do their jobs effectively.

Position Summary:

The WMS Support Specialist helps keep our warehouse management system (WMS) running smoothly by providing frontline support to warehouse employees, assisting with data accuracy, and partnering closely with the WMS Analyst on larger system initiatives. This role combines strong warehouse operational knowledge with a willingness to learn system processes, making sure employees have what they need to do their jobs effectively.

Key Responsibilities:

End-User Support & Ticket Resolution

  • Serve as the first point of contact for WMS-related questions and problems from warehouse and operations staff.
  • Troubleshoot basic system issues and escalate more complex problems to the WMS Analyst or IT team as needed.
  • Manage user access, including onboarding, offboarding, and permission changes, following guidelines set by the WMS Analyst.
  • Log and track issues in the ticketing system, ensuring timely communication and closure.

Training & Documentation

  • Provide basic WMS training for new warehouse users, covering day-to-day system features and best practices.
  • Maintain quick-reference guides, simple SOPs, and FAQs under the direction of the WMS Analyst.
  • Support retraining efforts following system updates or process changes.

System Audits & Data Support

  • Conduct routine audits of inventory records in the WMS to support data integrity - such as cycle count validations, putaway accuracy checks, and pick path confirmations.
  • Perform light data entry, like updating location attributes, as directed by the WMS Analyst to maintain system accuracy.
  • Help identify patterns in day-to-day issues and share insights with the Analyst for deeper analysis.

Project & Testing Collaboration

  • Work closely with the WMS Analyst to support system configuration projects, rollouts, and upgrades.
  • Participate in User Acceptance Testing (UAT) by executing test cases, documenting results, and providing user-level feedback.
  • Coordinate with warehouse supervisors to gather operational input, helping the WMS Analyst identify training needs and process pain points.

Education & Experience:

  • High school diploma or GED required; Associate's degree in information systems, business, supply chain, or equivalent experience preferred.
  • 1+ year experience in a warehouse, help desk, or system support role preferred
  • Prior exposure to warehouse management systems (WMS) is a plus.

Skills & Attributes:

  • Strong troubleshooting mindset with the ability to learn new systems and procedures quickly.
  • Excellent communication skills to bridge warehouse operations and technical teams.
  • Detail-oriented, dependable, and organized in managing tickets, data checks, and training tasks.
  • Comfortable working in a dynamic environment with shifting priorities.
