Job Description
Company: Southgate Surgery CenterJob Title: Contract Medical Records SpecialistDepartment: OphthalmologyReports To: Clinic SupervisorLocation: This position is located in Southgate, MI.SUMMARY
Ensures charts are available and up to date for patient appointments while maintaining an internal customer focus.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Daily responsibility for scanning/indexing all charts, faxes and miscellaneous correspondence.
- Patient Portal helpdesk back up.
- Daily responsibility for sorting, scanning/tasking and delivering faxes.
- Daily responsibility to perform scheduled runs on time and visit all departments.
- Promptly answer and triage all incoming calls from patients, employees and other health care professionals in a professional and polite manner. Appropriately utilize phone system so that all calls are answered by the 3rd ring and direct messages to appropriate staff ensuring that messages are clear and distributed promptly.
- Maintain patient confidentiality and HIPAA requirements.
- Perform other duties as assigned.

QUALIFICATIONS
- A team player who is friendly and professional.
- Detail-oriented, trainable, and committed to providing excellent patient care.
- Excellent computer skills.
- Prior experience with EMR/EHR preferred.
- Experience in the medical field is recommended, but not required for the right candidate.
- One year experience required
- Medical office/front desk experience preferred
- Must have good computer skills
EDUCATION AND/OR EXPERIENCE
- Minimum Required: High school diploma or general education degree (GED)
- Minimum Required: One year of related experience and/or training; or equivalent combination of education and experience
LICENSES AND CREDENTIALS
- Minimum Required: None
SYSTEMS AND TECHNOLOGY
- Proficient in Microsoft Excel, Word, PowerPoint, Outlook
PHYSICAL REQUIREMENTS
- This role requires a variety of physical activities to effectively perform essential job functions. The position involves frequent walking (75%), sitting (50%), and standing (50%), with regular bending, stooping, and reaching (25–50%). Employees must be able to lift, carry, push, and pull items up to 25 lbs. Strong fine motor skills and full use of hands are essential, as the role demands constant grasping, writing/typing, and use of technology. Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—is required 100% of the time. Occasional driving or climbing may also be necessary.
