Job Description

Admin Project Information SpecialistROLEWe need an experienced Administrative Support professional to serve as a Project Information Specialist at the U.S. Trade and Development Agency (USTDA).USTDA helps advance overseas infrastructure projects that create opportunities for U.S. exports while supporting jobs at home. In this role, you will provide broad administrative management support to agency operations and program staff. You will support verification of deliverables, travel and facilities management, records and document process improvements, and onboarding and offboarding activities. You will also assist in maintaining process maps, conducting reviews of grant packages, and providing training to agency staff on business processes and document flow.   • Provide general administrative support to USTDA operations and program staff, including review and verification of grant and contract deliverables such as final reports, cost share certifications, and invoices
  • Support travel management, building and facilities management, and other administrative functions as directed by the Office of Administration
  • Track expiration of USTDA subscriptions to external publications and prepare draft action memoranda for renewal requests
  • Review grant RFP packages for completeness and consistency with agency staff prior to publication
  • Maintain and update the IRC Document Flow Process Map, capturing intersections with agency document management processes and ensuring efficient establishment and maintenance of records
  • Assist staff in identifying and implementing process improvements that support agency operations and administrative functions
  • Support staff onboarding and offboarding by preparing office space, maintaining staff directories, managing supply inventory, and processing required documentation
  • Provide training to agency staff on IRC functions, responsibilities, and business processes related to document flow and information management
REQUIRED SKILLS/EXPERIENCE
  • At least 7 years of administrative management or relevant work experience
  • Experience with administrative services like office management, building and facilities management, human resources, and/or budget/finance
  • Experience with travel management
  • Proficient in the use of a variety of IT programs, databases, and computerized systems
  • Excellent written and verbal communication skills
  • Commitment to innovative and quality customer service
  • Physical ability to move a large number of files and/or file boxes
  • Ability to manage multiple tasks, prioritize work, and meet deadlines
  • Ability to identify and resolve complex problems
REQUIRED EDUCATION / CERTIFICATIONS
  • Business or Information Management degree – Required
