Job Description

ESSENTIAL JOB DUTIES

Essential Job Duties:

  • Staff Supervision and Coordination:

  • Supervise assigned staff, and others as needed.

  • Perform duties of the Clinical Assistants and/or Front Desk staff when necessary, including during absences, tardiness, or emergencies.

  • Provide coaching, mentoring, and career development support to staff.

  • Recruit, train, and evaluate staff performance. Document performance issues and address them promptly.

  • Patient Care Coordination:

  • Coordinate care between patients and healthcare teams to ensure optimal workflow and care standards.

  • May assist with scheduling, ensuring accurate and timely scheduling for patient visits and provider appointments.

  • Oversee the management of patient flow and patient satisfaction.

  • Staffing and Communication:

  • Coordinate monthly schedules for staff, ensuring adequate staffing for providers and patient care.

  • Address unplanned staffing changes or schedule adjustments as needed.

  • Foster a culture of inclusiveness through open and regular communication during huddles, 1:1's and routine staff meetings.

  • Maintain positive working relationships with department leaders and support initiatives that always promote GLBHC in a positive manner.

  • Procurement and Inventory Management (as assigned):

  • Maintain inventory of medical supplies, vaccines (VFC and private), and stock medications.

  • Monitor expiration dates, rotate inventory, and place orders from vendors in accordance with the Procurement Policy and budget.

  • Supervision of Front Desk and/or Clinical Staff:

  • Ensure that the front desk and/or clinical staff follow proper procedures, provide excellent customer service, and manage telephone reception and patient flow.

  • Function as the Center Manager in the absence of the Center Manager/Nurse Manager, ensuring proper communication and resource management.

  • Quality Improvement:

  • Participate in the implementation of quality improvement initiatives and audits.

  • Participate in team-based care in the Patient Centered Medical Home (PCMH) and related Quality Improvement activities.

  • Monitor and participate in site tracking activities to ensure timely tracking of labs, referrals, and tests.

  • Training and Education:

  • Provide ongoing training on systems like TriNet, MCIR, vaccinations, and medications for clinical staff as assigned.

  • Assist in training personnel from other locations as needed.

  • Administrative Support:

  • Perform clerical tasks such as correspondence, missed appointment notices, staff meeting minutes, and other tasks to support center operations.

  • Ensure proper maintenance of site office equipment, including phones, copiers, and fax machines.

  • Residency Program Coordination (if applicable):

  • Manage daily operations of the family practice residency program, ensuring adherence to procedures.

  • Collaborate with the GLBHC Director of Medical Education and Central Michigan University personnel for residency clinic schedules and regulations.

  • Patient Assistance Program (if applicable):

  • Manage patient assistance program applications as needed.

  • Compliance and Documentation:

  • Ensure that medical records and charts are properly maintained in accordance with policy and protocol.

  • Assist in the preparation and release of medical records in coordination with the Health Information Manager.

  • Perform Other Duties as Assigned:

  • Attend department meetings and support additional tasks as required to maintain center efficiency.

  • Other duties as assigned.

MARGINAL JOB DUTIES

  • Participate in team and department meetings as assigned.
  • Perform additional duties as assigned to ensure the efficiency of the center.
  • Assist the Center Manager/Nurse Manager with clinical or clerical duties as needed.

JOB SPECIFICATIONS

  • Education:

  • Completion of a medical assistant program required. Associate's degree in healthcare preferred.

  • Licensure:

  • Certified or Registered Medical Assistant (CMA or RMA) required.

  • Experience:

  • A minimum of 3 years of experience in a medical setting is required. Previous supervisory experience is preferred.

  • Skills:

  • Strong organizational and multitasking abilities.

  • Ability to make sound decisions, prioritize tasks, and handle complex situations.

  • Effective communication with diverse populations, including patients, staff, and providers.

  • Ability to maintain confidentiality and manage sensitive information.

  • Physical Requirements:

  • Medium physical effort: ability to sit, stand, and walk for extended periods during the workday.

  • Work Hours:

  • Full-time; flexible hours, with extended hours as needed.

  • Travel:

  • Occasional travel to various sites. Reimbursement per organization policy.
