Job Description

Oversee and perform the daily operations of the Zip Card Office and serve as the primary customer service representative, providing accurate information and assistance regarding Zip Card accounts, meal plans, student meal plan billing and door access.

Essential Functions:

40% Customer service- Serve as the primary point of contact for students, employees, and guests, assisting with inquiries via in-person, telephone, and email communication. Issue Zip Cards and other card types, including gift, guest, and door access cards, utilizing Transact TSE, online photo submission, and InstantID systems.

30% Meal plan administration- Manage meal plans for students and employees. Process meal plan billing to student accounts, online web purchases, and change requests using Transact TSE, Housing MCR, and Workday systems.

15% Office Management- Recruit, train, schedule, and supervise student employees, ensuring adherence to Zip Card Office procedures. Operate point-of-sale devices and process financial transactions, including cash and credit card payments, daily deposits, and refund processing via Workday. Operate card printer. Manage office and card printer supplies orders through Workday or PCARD

15% Financial Operations- Process departmental on-campus-order forms for gift cards through the controller's office; on-campus transfers and financial transactions related to office operations. Prepare monthly and weekly financial reports for vendors, controller's office, and external merchants. Support the External Merchant program, providing financial insights and troubleshooting payment-related issues.

Additional Position Information:

Required Qualifications:

Requires high school diploma and some college.

Requires a minimum of 2 years' experience in office/clerical procedures. Ability to coordinate programs, work in a fast-paced environment, and utilize new technology required. Advanced computer skills including cloud-based team collaboration, word processing, spreadsheet, and database software packages required. Strong customer service, interpersonal, and problem-solving skills are required. Preferred experience in relevant systems, including Transact TSE, InstantID, Housing MCR, and Workday.

Leadership:

Responsible for directing and monitoring the work of student workers.

Physical Requirements:

The job is physically comfortable; The individual is normally seated and have discretion about walking, standing, etc.; occasionally lifting of lightweight objects (up to 25 lbs.).

Working Conditions:

No major sources of working conditions discomfort, standard working environment with possible minor inconveniences due to noise, crowded working conditions, minor heating/cooling, or ventilation problems. Near continuous use (>70% of the time) of a video display terminal.
