This position is non-exempt
General Statement of Duties: Entry level clerical support involved in the processing and maintaining of the Sheriff's Office records system, including: Computer input; VIN inspections; logging and tracking evidence; preparing investigation case folders; assisting investigators in copying files for court and the District Attorney, and in filing Requests for Prosecutions. Provides clerical support to office staff.
Supervision Received: Works under the supervision of the Records/Evidence Supervisor.
Supervision Exercised: None.
Essential Functions: Any one position may not include all of the duties listed nor do the listed examples include all duties which may be found in positions of this class. The Montrose County Sheriff and/or Undersheriff reserve the right to modify or change the duties or essential functions of this job at any time.
- Processes law enforcement incident reports, including assigning sequential case numbers and classifying criminal incident reports; processes case folders; and reproduces and distributes case files.
- Searches for agency files to locate date and information requested by operational law enforcement personnel, outside law enforcement agencies, insurance agencies, and attorneys.
- Files reports, incident cards, and criminal history records.
- Runs criminal history checks.
- Logs incident cards and reports into the computer.
- Distributes copies of case files to the District Attorney and courts.
- Assists investigating officers with prosecution requests.
- Provides assistance to investigators in follow-up investigations.
- Conducts VIN inspections.
- Provides information to office personnel, other agencies and the public.
- Prepares statistical and other reports utilizing appropriate grammar, symbols and mathematical computations includes filing, labeling and alphabetizing.
- Assists in the development and revisions of department forms.
- Regular and predictable attendance is required.
MINIMUM QUALIFICATIONS
Required Knowledge, Skills and Abilities:
Education: High School graduate or equivalent.
Experience: One (1) year experience in general office. Any combination of education, training, and experience which provides the required knowledge, skills and abilities required for the job.
Required Knowledge:
- Ability to establish and maintain effective working relationships with officers, outside agencies, office personnel and the public.
- Knowledge of computers, the CCIC records system, and the Spillman system.
- Knowledge of proper procedures for conducting Vehicle Identification Number inspections.
- Ability to operate standard office equipment. Working knowledge of office procedures.
- Ability to read and comprehend legal and non-legal documents.
- Knowledge of English grammar.
Language Skills: Ability to understand both verbal and written instruction/direction, and to coherently speak the English language. Excellent verbal and written communication skills.
Interpersonal Skills: Ability to establish and maintain effective working relationships with officers, outside agencies, office personnel and the public.
Computer Skills: Modern office technology and equipment, including computers and related software applications. Working knowledge of database manipulation, spread sheets, and word-processing. Learn specific software associated with the position and/or organization.

- Frequent use of eye, hand and finger coordination enabling the use of automated office machinery, and writing utensils.
- Constant oral and auditory interaction to enable interpersonal communication, including use of automated devices such as the telephone, as well as personal interaction with the public.
- Spends approximately 80% of the time sitting, 10% standing, 10% walking while on the job.
- Occasionally stoops, kneels, crouches and balances while filing or operating office machinery.
- Frequently uses visual capacity enabling completion of required office duties.
- Occasionally lifts or carries up to 25 lbs. when moving office supplies or files.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Ability to tolerate and be productive in a quiet to moderate noise level in the work place. Employee will have periodic exposure to hazards in the field such as driving and inclement weather.
Special Requirements: Must possess a valid Colorado Driver's License with a satisfactory driving record. Subject to pre-employment drug test and criminal background check.
