Job overview:

The Staffing Coordinator collaborates with unit-based leaders to adjust staffing levels in response to call-ins and works closely with Assistant Directors of Clinical Operations (ADCOs) to assess unit needs in real-time, reallocate staff as needed, and notify team members of any changes or new assignments. They assist unit leaders in balancing six-week staff schedules prior to publishing and proactively contact staff to address unanticipated coverage needs in coordination with leadership. In partnership with the Chief Nursing Officer (CNO) or Nurse Managers, the coordinator monitors team leader staffing utilization patterns and posts open shifts using the scheduling software platform, updating shift availability in real time. The role also includes collaboration with the CNO and ADCOs to track and manage sitter utilization, as well as reviewing all requests for incentives and travel staff to ensure accuracy and completeness before forwarding to the approval team. The coordinator also assists Resource Team leadership with non-clinical administrative tasks such as payroll corrections, compliance tracking, and schedule audits. Throughout all responsibilities, they maintain strict patient confidentiality and ensure compliance with HIPAA regulations.

Skills:

  • Strong reading, writing, and verbal communication skills.
  • Proficient in basic math, including ratios, percentages, and interpreting graphs.
  • Critical thinking and sound judgment in dynamic situations.
  • Able to assess and respond to staffing changes and follow various types of instructions.
  • Skilled in data entry, retrieval, and analysis; capable of using or learning scheduling and EHR systems.
  • Physically able to sit, stand, walk, lift (10-50 lbs), and meet vision requirements.
  • May be exposed to mechanical equipment, chemicals, infectious agents, or moderate noise.
  • Able to handle multiple priorities, work under pressure, and maintain professionalism in emotional or distracting environments.

Compliance and Regulatory:

  • Must follow all laws, regulations, and policies, including HIPAA, Joint Commission standards, and infection control practices.
