Position: Office Manager

Basic Requirements:

  • High School Diploma or equivalent
  • Experience working with large data sets
  • Excellent administrative and process skills
  • Advanced Excel knowledge and ability to create and review complex spreadsheets
  • Working knowledge of payroll processing; experience with QuickBooks payroll software highly desired
  • Pays close attention to detail with excellent proofreading skills
  • Customer Service Experience
  • Experience with Microsoft Office Suite 365
  • Ability to work independently
  • Key Skills

  • Ability to multi-task and prioritize
  • High level Communicator

Overall Duties Include:

  • Oversee daily office operations, ensuring smooth and efficient functioning of the franchise.
  • Utilize RMS Software to track job progress, including updating records, notes, and document uploads.
  • Contribute to the payment collection process and ensure timely follow-up on outstanding balances.
  • Manage accounts payable and receivable, maintaining accurate financial records.
  • Assist with HR-related tasks, including employee records and general support.
  • Act as a liaison between departments, insurance companies, and software vendors to ensure smooth communication and collaboration.
  • Maintain organized company files, including legal documentation and subcontractor files.
  • Answer phone calls professionally, addressing inquiries and directing them appropriately.
  • Request and verify updated insurance coverage for subcontractors as needed.
  • Support team members in daily tasks and foster a collaborative, positive work environment.
  • Engage in problem-solving and contribute to the continuous improvement of departmental and company processes.
  • Ensure all operating platforms are current and functioning optimally.
  • Develop and implement efficient office systems to streamline workflows.
  • Represent the company's brand with professionalism and enthusiasm in all interactions.
