Job Description

The Administrative Assistant/Scheduler at our Durham, CT office will report directly to Green Power Energy’s Office Manager. The Administrative Assistant/Scheduler will be responsible for scheduling all Solar Site Surveys as well as completing a range of administrative tasks, such as completing solar applications and following up the status of projects with local municipalities .

Responsibilities:

  • Check and handle the correspondence of emails in a timely manner
  • Answer all incoming calls and transfer calls to colleagues accordingly
  • Communicate with our customers via phone and email in a professional manner
  • Provide data entry support and maintain the company’s CRM daily
  • Schedule site surveys the same day as jobs are sold
  • Order Eagleview reports and update calendar events when onsite measurements are needed
  • Assign Site Capture templates to survey techs
  • Check in surveys as they have been completed
  • Follow up with surveyors on aging files to be uploaded
  • Apply for zoning and town permits and mail checks for permit fees
  • Order office supplies and equipment
  • Send customer documents using Docusign envelopes
  • Fill out HOA applications
  • Assist the Office Manager with all tasks assigned
  • Update customers on the progress of their applications
  • Follow up with local municipalities on the status of applications and utility releases
  • Assist with training other employees as needed

Requirements

  • Excellent organizational skills
  • Outstanding verbal and written communication skills
  • Advanced proficiency in Microsoft Office and/or Google Suite (Excel, PowerPoint, Word)
  • Must be motivated and ready to work in a fast paced environment
  • Comfortable with taking instructions and following tasks to completion
  • Ability to work independently, manage multiple tasks and projects
  • Ability to work within a team environment and provide back-up support to other Project Coordinators and Managers as needed
  • Maturity to handle confidential issues and communicate effectively with team members and Senior Executives
  • Handle customer concerns with care and a positive attitude
  • In office, 40-hour work week, Monday through Friday 8:30am-5pm
