Job Description

Estimate Coordinator - Civil

The Estimate Coordinator will play a key role in assisting the estimating team by providing administrative support, organizing documentation, and ensuring smooth communication between departments. This position requires an individual with strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The Estimate Coordinator will be responsible for maintaining accurate records, scheduling meetings, preparing reports, and supporting the team and Chief Estimator in procuring Civil projects.

A typical day looks like:

  • Assist the estimating team with organizing and maintaining project files, including blueprints, project specifications, and cost estimates.
  • Prepare and format proposal documents, bid packages, and pre-qualification materials for projects.
  • Maintain and track project timelines, deadlines, and key deliverables for estimates and bids.
  • Communicate with subcontractors, suppliers, and clients to gather information for project submission documents.
  • Prepare and update cost databases and assist with compiling cost data for civil work.
  • Coordinate and schedule meetings between estimators, project managers, and other team members.
  • Handle incoming phone calls, emails, and correspondence related to project estimates and proposals.
  • Prepare and distribute internal reports and meeting minutes related to bidding activity, project status, and team needs.
  • Ensure all estimating documents are filed, organized, and accessible to team members as needed.
  • Support the Chief Estimator with administrative duties such as data entry, document preparation, and other office tasks as needed.

Do you have what it takes?

  • High school diploma or equivalent; Associates degree or relevant certification preferred.
  • 2+ years of administrative experience, preferably in the construction or related industries.
  • Basic understanding of construction terminology is a plus.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent written and verbal communication skills.
  • Detail-oriented and able to maintain accurate and organized records.
  • Ability to work well independently and as part of a team.
  • Strong problem-solving skills and the ability to handle confidential information with discretion.
