Dispatch Assistant

Job Description Summary:

The Dispatch Assistant will help the dispatch crew such as the Area load Planner & Area CSR with daily task along with helping the Maintenance guy(s) set up shops to fix equipment.

Critical Job Functions:

• Politely assisting customers & drivers via telephone, e-mail, & there Electronic Logging Device (ELD)
• Identify any operational and regulatory risks, & escalate as/when needed.
• Knowing Hours of Service (HOS) for the Qualcomm, Rand McNally, & People net
• Develop a reputation with drivers, customers, & coworkers as an efficient service provider with high levels of accuracy
• Responds to phone and email inquiries in a timely manner (let the other person know you received the call / e-mail)
• Calling drivers to go overload information on Pre-Plans
• Calling drivers to confirm in & out times from shippers & or receivers.
• Calling shippers or receivers to help drivers with directions into their facilities (if not any in system & if not please update system with those).
• Calling drivers when they are running late for an appointment to get ETA & call the shipper or receiver to verify, they will still load / unload the driver upon arrival.
• Calling drivers to confirm load temps on trailers (if something seems to be wrong, get with area planner & or CSR right away or customer to confirm).
• Issuing Lumper money, Washout money, late fees, etc.
• Help the Maintenance guy(s) schedule regularly maintenance on all equipment.
• Check with the maintenance employee daily on what repairs you can help set up or investigate.
• Issue a PO or a payment to pay for the repair bill (Must have shops bill in hand prior to sending money out).
• If a driver sends in on their ELD, E-mails, calls in & needs a shop to come to him/her or if driver can drive to a location - look up a place to send the driver for repairs (Management & Co Workers will train on what we are looking for).
• Assists in locking down trailers that do not have license plates.
• Follow ALL office rules & etiquette.
• Maintains a clean, safe work environment.
• Participates in proactive team efforts to achieve departmental and company goals.
• To assist with the dispatch of city drivers, take pick up calls, schedule delivery appointments, route freight bills, copying, sorting, and filing of freight bills, and other duties as assigned.

Job Requirements:

• High school Diploma or GED
• Bachelor's Degree in transportation is preferred.
• Relies on written and verbal communication.
• Ability to read documents such as safety rules, following instructions & procedures.
• Ability to write correspondence.
• Ability to speak effectively before groups, customers, drivers or employers of A&A Express a Division of Roadrunner Temp Control
• Communicates with all office staff, and externally with terminals, customers & drivers.
• Specific industry or position skills.
• Must have computer skills including electronic mail, record keeping, word processing, spreadsheet etc.
• Preferred knowledge of McLeod
• Average typing & Phone etiquette.
• Ability to solve problems and deal with a variety of situations when limited help is available.
• Ability to prioritize tasks.
• Ability to organize & handle multiple tasks simultaneously.

• While performing the duties of the job, the employee is regularly required to sit, stand, walk, kneel, crouch, balance, reach/handle items, work with fingers, depth perception and talk and hear others in conversations via the phone or in person.

• Work Environment:

• The noise level is loud based on multiple phones, printers, & coworkers working around you

• Might be required to occasionally work in humid conditions indoors.

Compensation:

• The estimated compensation for this role is $20.00 per hour.
