Job Description
The Office Manager is responsible for coordinating and overseeing all administrative functions related to the division. This includes managing invoicing, accounts payable, financial close processes, office supplies, general office operations, and serving as a liaison between departments. The Office Manager may supervise employees and reports directly to the Division Controller, with a dotted line to the Operations Manager. Occasional travel (less than 5%) is required. Daily billing of customer shipments Storage charge invoice billing and management Resolve customer deductions and claims in a timely manner (with support from sales and credit teams) Review daily invoice register for errors Assist with new customer account set-up (collaborating with credit department and sales) Accounts Payable: Index invoices into workflow system and communicate with vendors Collaborate with Plant Manager and Corporate Accounts Payable Serve as vendor master contact for new vendors and changes Act as Pcard manager: gather statements, match receipts, and index for approval Financial Close: Ensure timely completion of all month-end financial close tasks Process monthly journal entries Serve as division audit contact for internal and external audits (e.g., KPMG), including sample preparation Other Duties: Purchase office supplies, forms, and related materials Manage general office operations including main phone line and front desk responsibilities Greet visitors and coordinate lobby monitor greetings Receive and distribute incoming packages promptly Potentially supervise office staff Microsoft Office: 3 years (Required) Administrative experience: 3 years (Required)
