Our employees receive 11 paid holidays, 15 days of paid annual leave, which increases with every 5 years of service, and 15 days of paid sick leave. Additionally, employees will receive longevity payments based on their years of service with the State of Oklahoma.

This position has an annual rate of $54,000.

POSITION SUMMARY

The Motor Vehicle Processing Specialist provides professional and technical services concerning state tax laws or agency policies and procedures to ensure that laws, rules, and procedures are interpreted consistently and that customers are in compliance. This position will analyze information presented to determine the nature of a problem, provide assistance in interpreting and applying laws, policies, and procedures, advise customers on matters related to the agency's business operations, and provide other assistance as needed.

POSITION RESPONSIBILITIES

This job description describes the general nature and level of work performed by the employee assigned to this position. It should not be construed as an exhaustive list of all required duties, responsibilities and skills.

  • Opens, sorts, extracts, reviews and edits all forms received and prepares for posting to accounts.
  • Reviews payments to ensure tax liabilities are accurately paid and processed for deposit.
  • Corrects tax returns and documents within established guidelines and rule/statute requirements as needed.
  • Researches accounts for information and history in order to apply payments or correct returns.
  • Enters data of remittances and returns into various databases and software systems.
  • Notifies Leadership of potential problems, recommends alternate solutions, and assists with training employees.
  • Provides input for improvement of procedures, policies, and inefficiencies.
  • Operates various equipment associated with inbound and outbound mail, including high-speed scanners and folder/inserters.
  • Works with vendor representatives to ensure timely and accurate mail-outs.
  • Maintains production schedules to ensure deadlines are met.
  • Prepares production/statistical reports.
  • Assists with tracking supplies.
  • Researches and resolves discrepancies in tax returns/documents and remittances to ensure proper processing of the forms and proper posting of moneys received.
  • Operates and provides daily maintenance of high-speed scanners.
  • Reviews and corrects scanned images in processing modules.
  • Verifies scanned images in Imaging Repositories and makes corrections when necessary.
  • Keys remittances and/or returns into various databases and software systems.

This position may be expected to cross-train in other sections of their division and perform the job duties in each section, based on the needs of the agency.

KNOWLEDGE, SKILLS, & ABILITIES

  • Knowledge of office practices and procedures, including the maintenance of records.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to communicate effectively, following oral and written instructions.
  • Demonstrates the ability to protect operations by keeping confidential information.
  • Office methods and procedures including using a computer and applicable software.
  • Proficient in Microsoft Office programs and written and verbal communication.

LEVEL DESCRIPTORS

Level I

  • Level I is an entry-level position where employees are responsible for performing various routine duties related to reviewing, editing, and processing various tax forms functions. Duties include making corrections to tax returns/documents within established guidelines and will involve processing tax returns/documents at all levels of difficulty. Duties will vary according to the section in which the position is located but will require specialized knowledge as it relates to the tax laws and needs of the Motor Vehicle Division.

Level II

  • The Level II is an advanced-level position where employees are assigned responsibilities at the full performance level and have authority to authorize issuance of titles on vehicles, boats and motors. Employees at this level process motor vehicle applications and review titles issued by tag agents. Employees at this level will also cross-train other sections within the Motor Vehicle division.

Level III

  • The Level III is the subject-matter-expert or Team Lead where employees are assigned responsibilities at the full performance level and have authority to authorize issuance of titles on vehicles, boats and motors. Employees at this level process motor vehicle applications and review titles issued by tag agents. Employees at this level will also cross-train other sections within the division.

EDUCATION & EXPERIENCE

The preferred minimum qualifications for this position are:

Level I

  • An associate's degree in accounting, business, public administration or a closely related field;
  • OR equivalent combination of education and experience.

Level II

  • An associate's degree in accounting, business, public administration or a closely related field,
  • PLUS one (1) year of bookkeeping, tax revenue, customer service, accounts maintenance, or closely related work.
  • OR equivalent combination of education and experience.

Level III

  • An associate's degree in accounting, business, public administration or a closely related field;
  • PLUS two (2) years of experience in bookkeeping, tax revenue, customer service, accounts maintenance, or closely related work.
  • OR a bachelor's degree in accounting, business, public administration or a closely related field;
  • OR an equivalent combination of education and experience.

Preference may be given to applicants who have experience in working with imaging equipment or processing environments and/or are skilled at typing accurately forty words per minute.

SPECIAL REQUIREMENTS

  • This position will not require travel.
  • This position works in a comfortable office setting with a computer for a large percentage of the workday.
  • This position requires employees to be able to stand up to eight hours a day and lift 10-50 pounds on a regular basis, with assistance as needed.
