Job Description

The Academic Program Specialist supports the planning, coordination, and day-to-day operations of international academic partnerships and related programs. This role serves as a key liaison between partner institutions and campus colleagues, helping ensure efficient processes, strong communication, and high-quality support for students, faculty, and global initiatives.

The Specialist contributes to the operational success of international programs through data management, logistical coordination, documentation development, and continuous process improvement. This position requires strong organizational skills, attention to detail, cross-cultural communication ability, and a collaborative, service-oriented mindset.

MINIMUM QUALIFICATIONS: High School Diploma or equivalent with three years of experience in an office or administrative position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Partnership Coordination

  • Serve as a primary point of contact for partner schools and relevant campus offices to support smooth and effective program operations.

  • Facilitate communication and coordination between internal stakeholders and external partners to ensure alignment on timelines, processes, and expectations.

  • Student Registration Support

  • Assist with student registration processes for participants from partner institutions.

  • Coordinate with academic departments and administrative offices to ensure accurate enrollment and timely resolution of issues.

  • Data Management & Reporting

  • Collect, maintain, and analyze data related to international programs and partnerships.

  • Prepare reports and summaries to support program assessment, strategic planning, and compliance needs.

  • Logistical Support for Exchanges & Initiatives

  • Provide logistical coordination for faculty exchanges, visiting scholars, and other partnership-related activities.

  • Support scheduling, documentation, and communication associated with partnership initiatives and events.

  • Documentation & Process Management

  • Develop, maintain, and update clear documentation, operating procedures, and workflow guides for partnership and system processes.

  • Identify opportunities to improve efficiency, consistency, and user experience in operational practices.

  • Professional Development & Field Awareness

  • Engage in learning opportunities to stay informed about trends, best practices, and emerging issues in international education and global program operations.

  • Apply new knowledge to enhance office processes and service delivery.

  • Team & Culture Contribution

  • Contribute to a collaborative, innovative, and service-focused team environment.

  • Participate in team projects, planning efforts, and cross-functional initiatives that advance the mission of global partnerships.

  • Other Duties

  • Perform other duties as assigned in support of the Office of Global Affairs and International Student Services.

SALARY: $16.23 / hour
