Job DetailsKey ResponsibilitiesAdministrative & Front Desk Oversight
  • Manage and provide backup support for the Front Desk/Admin Assistant.
  • Serve as the primary point of contact for administrative processes and procedures.
  • Train, mentor, and monitor front desk performance; address and correct issues as needed.
  • Organize and assign responsibilities for company events and office initiatives.
Office & Operations Management
  • Coordinate all office supply ordering, inventory tracking, and distribution across locations.
  • Manage vendor and service accounts to ensure contract compliance, pricing accuracy, and promotions.
  • Maintain inventory systems (Excel and Spectrum) and analyze costs to improve inventory controls.
  • Coordinate office setups, relocations, and take-downs.
  • Review and process overhead invoices, including office expenses and IT software.
  • Plan and execute company events, including design, logistics, and on-site issue resolution.
  • Coordinate with local charities and fundraising organizations.
  • Analyze fuel invoices in collaboration with operations leadership.
  • Partner with Property Management to manage building maintenance and facility needs.
IT & Systems Coordination
  • Provide support for internal IT software programs.
  • Act as liaison between the office and IT/telecom vendors.
  • Manage employee devices, including MDM, Microsoft 365, and new hire equipment setup.
  • Track and analyze phone usage, plans, and ordering.
  • Administer office security systems, including Alarm.com access and security cameras.
  • Manage distribution of fuel cards and purchasing cards.
  • Assist with research and implementation of new software solutions.
Innovation & Communication
  • Develop meeting agenda content for leadership as needed.
  • Design and manage company-branded merchandise inventory and budget.
  • Create internal communications, forms, surveys, and visual content.
  • Develop recruitment and employee announcement content for internal and social platforms.
  • Proactively identify and implement process improvements to enhance efficiency and employee experience.
