About the Role

Elite Parking Area Maintenance is a fast-growing commercial construction and asphalt paving company serving Long Island and the Northeast. We are seeking a dependable and organized Administrative Assistant to support our accounting and back-office operations.

This is an excellent opportunity for someone looking to build a career in construction administration, bookkeeping, or accounting. In this role, you will gain hands-on experience working with QuickBooks Desktop, job-costing processes, construction billing documentation, and office operations.

No advanced accounting background required — we are willing to train the right person who is detail-oriented, reliable, and eager to learn.

This is a full-time, in-person position located at our Oakdale, NY office.

What You Will Do

Administrative Support

  • Organize and maintain job folders, paperwork, and office records

  • Process and file invoices, delivery tickets, and field documents

  • Assist with document tracking such as COIs, W-9s, and compliance paperwork

  • Communicate with field staff to gather job information and documentation

  • Support general office operations and coordination, answer phones

Accounting & Bookkeeping Support (Training Provided)

  • Assist with entering bills, receipts, and basic data into QuickBooks Desktop

  • Help organize accounting records and supporting documentation

  • Support accounts receivable tracking and invoice preparation

  • Assist with job cost tracking and project documentation

  • Provide administrative support to the accounting team

Process & Organization

  • Maintain organized digital records using Microsoft Office 365 and SharePoint

  • Help identify missing documents or incomplete records

  • Support improvements in office workflow and organization

Required Skills & Qualifications

  • Bilingual (English / Spanish) strongly preferred

  • Strong Microsoft Excel skills required (comfortable with formulas, spreadsheets, and data organization)

  • Excellent organizational skills and attention to detail

  • Reliable, professional, and able to follow structured processes

  • Comfortable using computers and learning new software

  • Strong written and verbal communication skills

  • Interest in bookkeeping, accounting, or construction administration is a plus

  • Prior office or administrative experience preferred but not required
