As an Administrative Assistant- Sales & Marketing, you will carry out our Mission of Love by performing a comprehensive variety of administrative and secretarial support services in a professional and organized manner for the Retirement Living Marketing Department.
Our Administrative Assistant- Sales & Marketing is responsible for the following:
- Greets visitors, residents, potential residents, and employees who enter the Retirement Living Marketing Department and assists them in their inquiries. Makes and prioritizes appointments for all individuals wishing to meet with the Retirement Living Marketing Staff.
- Provides tours as required when other members of the Marketing Department are not available. Maintains a high level of interaction with potential residents with a variety of information including the Life Care Agreement and Fee for Service Agreement.
- Develops systems and maintains accurate files of all marketing collateral material, letters, reports, memos, and correspondence.
- Enters and updates data in Reps and file for incoming residents and for prospects.
- Maintains a current lead management system in order to assist Marketing Staff in lead categorization, improved response time, and record keeping. Maintains database for direct mailings. Provides reports from the Reps lead tracking system as directed by the Retirement Living Marketing Manager.
- Organizes and completes required paperwork in a timely manner for prospective Residents serving as Move-In-Coordinator as directed. Inspects units and meets with residents prior to move.
- Assists in special projects and programs related to the overall marketing efforts of the Masonic Village, acting as coordinator for such events as directed including sales calls to prospects.
- Answers telephone in a polite, professional manner. Records and delivers messages as necessary. Manages prospect calls to the Marketing Staff.
- Types letters, memos, reports, and correspondence as directed.
- Accurately prepares deposits and processes invoices for payment as directed.
- Orders office supplies for the Marketing Office.
What You Need as an Administrative Assistant- Sales & Marketing:
- Must be able to type at least 60 words per minute, able to type a variety of internal forms, government forms, and business correspondence and have familiarity with operations of general office business machines and equipment.
- Must be able to write memos, letters, correspondence and format spreadsheet reports in an acceptable business manner.
- Must be knowledgeable of concepts of word processing, spread sheets and use of computer terminals.
- Must be able to carry on favorable and professional communication with residents, employees, visitors, and the general public in a manner which will reflect favorable upon Masonic Village.
