Job Description:The Administrative Assistant will provide general administrative support to the Service Team, which may include responding to customer call and inquiries, assigning and dispatching service technicians, processing work orders and billings, and researching and resolving discrepancies.
Responsibilities/Tasks:
- Schedule Field/Office training (registration, travel, accommodations)
- Onboarding of technicians
- Coordinate with safety
- Vehicles/insurance/cameras
- Payroll - notify Bambi
- Service titan/technology
- Gas card / p card
- Safety training onboarding
- MVR forms
- Boot specs/expense report
- Stocking of PPE
- Create monthly All Hands Slide Assembly
- Outreach to sales
- Outreach to safety
- Overall assembly
- Recognition / Field accomplishments
- Handle Tapt / Business card admin duties
- Ordering clothing
- Field orders
- Office/sales requests
- New Vendor application support.
- AP vendor creation through corporate AP
- New customer applications
- Vendor creation through corporate accounting.
- Licensing / Registration
- Professional memberships
- Work requirements
- Local permitting / registration
- Clearances
- Billing portals / Costar dashboard

- Minimum 3 years of administration experience in the construction/service industry or a related field
- Knowledge of Word Processing software, Internet software, and Spreadsheet software, must be able to handle confidential information
- Proficient with Microsoft programs
- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write basic correspondence.
- Excellent organization skills and attention to detail
- Excellent verbal and written communication skills
- Ability to prioritize and multi-task
