About the Role
We're looking for a highly organized and detail-oriented Administrative Assistant to support our Birmingham Home Office onsite full-time. In this essential role, you'll help keep daily operations running smoothly by providing administrative, clerical, and coordination support to leaders and teams.
You'll be a trusted partner behind the scenes - managing priorities, supporting communication, and ensuring nothing falls through the cracks in a fast-paced, collaborative environment.
What You'll Do
Provide day-to-day administrative support including scheduling, calendar management, and meeting coordination
Prepare, edit, and distribute correspondence, reports, and internal documentation
Manage phone calls, emails, and general inquiries with professionalism and timeliness
Maintain organized digital and physical filing systems and support data tracking and reporting
Coordinate meetings, prepare materials, and document action items and follow-ups
Assist with planning and execution of office events, trainings, and company initiatives
Support office operations by monitoring supplies, coordinating with vendors, and resolving issues as they arise
Collaborate closely with cross-functional teams to ensure smooth communication and workflow
Ideal Candidate
1-2 years of experience in an administrative, office support, or coordinator role
Strong organizational and time-management skills with the ability to manage multiple priorities
Excellent verbal and written communication skills
High attention to detail and discretion when handling confidential information
Proficiency in Microsoft Office, Google Workspace, and office technology
Adaptable, proactive, and comfortable working in a fast-paced environment
