About the Role

We're looking for a highly organized and detail-oriented Administrative Assistant to support our Birmingham Home Office onsite full-time. In this essential role, you'll help keep daily operations running smoothly by providing administrative, clerical, and coordination support to leaders and teams.

You'll be a trusted partner behind the scenes - managing priorities, supporting communication, and ensuring nothing falls through the cracks in a fast-paced, collaborative environment.

What You'll Do

  • Provide day-to-day administrative support including scheduling, calendar management, and meeting coordination

  • Prepare, edit, and distribute correspondence, reports, and internal documentation

  • Manage phone calls, emails, and general inquiries with professionalism and timeliness

  • Maintain organized digital and physical filing systems and support data tracking and reporting

  • Coordinate meetings, prepare materials, and document action items and follow-ups

  • Assist with planning and execution of office events, trainings, and company initiatives

  • Support office operations by monitoring supplies, coordinating with vendors, and resolving issues as they arise

  • Collaborate closely with cross-functional teams to ensure smooth communication and workflow

Ideal Candidate

  • 1-2 years of experience in an administrative, office support, or coordinator role

  • Strong organizational and time-management skills with the ability to manage multiple priorities

  • Excellent verbal and written communication skills

  • High attention to detail and discretion when handling confidential information

  • Proficiency in Microsoft Office, Google Workspace, and office technology

  • Adaptable, proactive, and comfortable working in a fast-paced environment
