Job Description:
Provides administrative support to upper-level managers and departments. Handles complex, non-routine tasks including research, data analysis, report preparation, scheduling, travel coordination, correspondence, and interdepartmental communication. Manages confidential information and supports daily operations using standard office software and equipment. Works independently with limited supervision.
Job Responsibilities:
Manage high-volume coordination across global time zones, VP travel logistics, leadership meetings, and international event support.
Manage calendar scheduling across multiple international time zones; coordinate travel logistics and ensure alignment with global initiatives and leadership priorities.
Prepare executive-ready materials, travel packets, and meeting documentation to support leadership effectiveness and international engagement.
Provide operational support for international conventions, sourcing trips, and enterprise-level initiatives, ensuring logistical accuracy and follow-through.
Compiling, Reviewing, and sending in expense reports for each International Director/VP in a timely manner to meet strict monthly or bi-monthly deadlines.
Manage office supply inventory for international break rooms and copy areas.
Preparing meeting minutes, meeting notes, and internal support materials.
Scheduling and coordinating meetings, interviews, events, and other similar activities.
Manage translation equipment checkouts for events.
Coordinating between departments and operating units in resolving day-to-day administrative and operational problems.
Periodic duties as a receptionist when International staff are out of town.
Assist Project Manager with special projects on occasion.
Coordinate occasional activities for International Staff.
Job Qualifications:
High School Diploma or equivalent.
2 years of experience preferred.
Ability to work well in a team environment.
Excellent Verbal and written communication skills.
Proficiency in MS Office (Excel, Word, PowerPoint)
Strong organizational skills.
Excellent time management skills and ability to multi-task and prioritize work.
Detail-oriented and comfortable working in a fast-paced office environment.
Willingness to do tasks outside of set job description.
