Minimum Qualifications:

Two years of experience in administrative services.

EXPERIENCE SUBSTITUTION:

Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information:

As an Administrative Coordinator 3, you will:

  • Executive Liaison & Representation: Act as the primary point of contact between the Dean's office and students, parents, faculty, and external officials; exercise administrative judgment and interprets university policy in the absence of leadership.
  • Academic Records Management: Manage comprehensive undergraduate and graduate student files, including the processing of major changes, grade changes, "I-grade" completions, and probation/suspension notifications.
  • Graduation Auditing & Certification: Audit and certify graduation requirements for approximately 300 seniors annually, ensuring accuracy in registrar submissions, diploma lists, and commencement programs.
  • Graduate Program Coordination: Facilitate graduate admissions, registration, and recruiting while maintaining student records and communicating administrative decisions to unit heads and the Graduate School.
  • Administrative Operations: Manage executive calendars, travel arrangements, and general office tasks; maintain detailed property inventories and annual room usage charts for the college.
  • Data Analysis & Reporting: Research and compile data on enrollment, retention, and course offerings to support special projects and reports for the Board of Regents and other administrators.
  • Committee Support: Coordinate the Undergraduate Program Council and ANS Day Planning Committee by scheduling meetings, recording minutes, and distributing policy decisions.
  • Digital & Graphic Design: Maintain the college website and faculty directories while designing promotional materials such as brochures, banners, and interactive documents.
  • Curriculum & Evaluation Oversight: Manage the annual catalog revision process and oversee the confidential student/teacher evaluation process for over 78 faculty members.
  • Personnel Supervision: Provide indirect supervision to 12 staff members across five academic units and directly supervises five student workers to ensure efficient office flow.

Position-Specific Details:

Appointment Type: This position will be filled as a Probationary Appointment.

Location: Louisiana Tech University, College of Applied and Natural Sciences, Dean's Office-Ruston, LA

Work Schedule: The typical work schedule for this position is Monday-Friday, 8am to 5pm.

Hourly Rate: $13.77

Closing Date: March 25, 2026
