Job Description

We are looking for a part-time Administrative Coordinator to support Foundation leadership through administrative, project, and office coordination responsibilities. This flexible position is a great opportunity for someone with 3-5 years of related experience who is passionate about supporting meaningful work.

Location:

  • Good Samaritan Hospital- Foundation Offices

Schedule:

  • Part-time position, 40-hours bi-weekly
  • Day shift
  • No weekends, holidays or on-call commitment

Minimum Job Requirements:

  • High School Diploma or GED Degree (Required)
  • 3 - 4 years experience in a related field (Required)

Job Overview:

This position provides administrative and operational support in a group office setting. This could include interfacing with doctors, managers and supervisors, patients, and the public. This position is a highly visible and technical but non-supervisory role that may handle such duties as triaging of telephone calls for the office's managers/supervisors/physicians, along with human resources transactions and records, data reporting, and general administrative support duties. This role differs from an Administrative Secretary in that it does not necessarily support a Director level, but rather an office setting in which managers, supervisors and/or practitioners of varying levels depend on high-level administrative and operational support.

Job Responsibilities:

  • Prioritizes incoming mail/e-mail/voice mail for action. Responds as appropriate.
  • Prepares routine reports including data gathering and summarizing of data, i.e. budget.
  • Acts as the Initial phone contact and resource for resolving initial inquiries. Tracks and insures follow-up.
  • Maintain calendars, prioritizes necessity of meeting and location, coordinates agenda, materials, facility and presentation needs.
  • Creates correspondence, develops databases, spreadsheets, word processing through potentially complex and multi-relational files/documents.
  • Coordinates requests for information. Tracks and insures follow-up.

Other Job Responsibilities:

  • Administrative Support and execution of scholarships, designated funds and accounts payable processes.
  • Data Management and execution of monthly and bi-monthly mailings
  • Routine Office Support such supply ordering, answering phones and equipment maintenance
  • Special Project support and execution as needed
