Job Description
What You'll Do: ODH is seeking to fill an Administrative Professional 1 position within the Bureau of Environmental Health and Radiation Protection. This position will provide routine administrative support, make recommendations regarding program activities and assist in developing new procedures related to established program policy. Additional duties include:
- Establishing office procedures and coordinating workflow (e.g., correspondence tracking, work requests, staff schedules)
- Updating and maintaining office manuals and other reference materials by incorporating new or revised data (e.g., hardcopy, personal computer document revisions)
- Making travel arrangements for staff (e.g., travel orders, hotel reservations)
- Collecting, tracking and maintaining section documents, expenditures, forms and files (e.g., time sheets, leave sheets, flex
schedules, sign in sheets, print orders)
- Demonstrating judgment on routine administrative decisions (e.g., provides written and/or oral explanations of section services or activities, screens visitors)
- Gathering, developing and maintaining statistical programmatic information and databases (e.g., Access) to produce technical documents using various software packages (e.g., Word, Excel, Publisher) for reports (e.g., travel expense, special conditions, summaries, evaluations) and other documents (e.g., charts, graphs, correspondence, flyers, forms, mail merge)
- Answering, screening and routing phone calls
- Coordinating the arrangement of meetings and conferences (e.g., agenda, registration, information distribution, answer
inquires, arrange meeting rooms, parking, food)
1 yr. trg. or 1 yr. exp. in secretarial science or business office applications. For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.
