THIS IS A TEMPORARY THREE-MONTH POSITION LOCATED IN KNOXVILLE, TENNESSEE

The Administrative Program Support 1 in partnership with the Program Director of the Oral and Maxillofacial Residency and the Oral/Head and Neck Oncologic Surgery Fellowship, ensures regulatory and accreditation standards are met as outlined by the Commission on Dental Accreditation (CODA). This position serves as the primary liaison between the Residency and Fellowship Program Director, residents, fellows, program faculty, GME Office and affiliated teaching sites concerning residency programs. This position provides direct oversight of the daily administrative and professional responsibilities for all program residents in-training as outlined by CODA.

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of relevant experience in an academic or healthcare setting; OR Associate's Degree in a related field and two (2) years of relevant experience in an academic or healthcare setting; OR Bachelor's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong interpersonal skills and human resources management skills.
  • Excellent written and oral communication skills.
  • Strong computer skills; proficient with Microsoft Office and digital systems.
  • Knowledgeable in MedHub.
  • Strong problem-solving skills.
  • Ability to work independently and multitask.
  • Knowledgeable in medical transcription.

WORK SCHEDULE: This position may occasionally be required to work weekends.

  • Coordinates and directs all administrative needs of the Oral and Maxillofacial Residency and the Oral/Head and Neck Oncologic Surgery Fellowship.
  • Compiles and reports accurate programmatic data for annual reports to the American Dental Association and the American Association of Oral and Maxillofacial Surgeons.
  • Coordinates the match process for both the OMFS residency (CODA) and the Oral/Head and Neck Oncologic Surgery Fellowship, American Academy of Craniomaxillofacial Surgery (AACMFS).
  • Coordinates monthly resident and fellow evaluations by faculty and yearly faculty evaluations by residents and fellows.
  • Manages scheduling, housing, and orientation of yearly rotating residents from Meharry Medical College.
  • Processes all resident and fellow travel arrangements and reimbursements.
  • Manages the administration of the application, interview, and recruitment process for prospective residents and fellows' correspondence, scheduling interviews, meals, and equipment setup.
  • Updates department website in relation to Residency and Fellowship Programs.
  • Maintain personnel database of current residents, fellows, alumni, and faculty.
  • Performs other related duties as assigned.
