Job Description

Job Summary:

Responsible for overseeing the coordination of Physician, Nursing, Research and Clerical staff to ensure collaborative effort and smooth operations within the Nephrology Division. This includes, but is not limited to, determining staffing needs and creating job descriptions for support staff; direct supervision of support staff, including hiring, training, motivation, counseling and occasionally termination; functioning as Assistant to Division Director; monitoring HSF and UAB financial statements and managing accounts payable.

Supervises employees and operations in a designed area. Responsible for employee training, auditing, product or service quality control, establishing productivity standards, performance issues, staffing, payroll and other matters associated with the productivity and operations of assigned area. Handles confidential information and issues. May have grant and budgetary responsibilities. Supervises the work of, but does not perform, the same duties as subordinate personnel. May have some administrative assistant duties and manage compliance/regulatory processes. May act as a liaison to leadership and/or as human resources officer for department.

Duties/Responsibilities:

  • Manage daily operations of the Division of Pediatrics Nephrology, including divisional operations, staffing, scheduling, meetings, workflow processes, clinic templates, physician schedules, patient scheduling, medical records, and divisional initiatives.

  • Supervise administrative support staff, including determining staffing needs, developing job descriptions and workflows, recruiting, hiring, training, evaluating employees, providing coaching and professional development, overseeing administrative functions, and coordinating staff and divisional meetings.

  • Provide comprehensive administrative support to the Division Director, faculty, and fellows, including calendar and meeting management, travel arrangements, credentialing, faculty leave records, procurement, faculty recruitment and onboarding, correspondence, reports, and statistical data.

  • Monitor departmental budgets and financial reports, process accounts payable, reimbursements and P-Card transactions, maintain financial records, reconcile transactions, support financial reporting, and provide guidance and training on financial procedures.

  • Promote communication and collaboration among administrative, clinical, and physician teams; serve as a liaison among Patient Access Center staff, nurses, physicians, and clinic personnel; assist with clinic policies and workflows; and support efficient divisional operations.

  • Provide backup support for research operations, including travel and reimbursements, vendor setup, study participant payments, patient stipends, pharmacy invoices, grant billing, research equipment and supplies, and special projects.

Salary Range: $45,395 - $73,770

Bachelor's degree in a related field and one (1) year of related experience required. Or an equivalent combination of relevant education and/or experience.
