Bgesh is looking for eager and qualifiedAdministrative Support Assistants to provide services to assist the Santa Fe Indian Health Center (SFIHC) Administration Office with direct and indirect patient and administrative duties. The Administrative Support Assistants will assist in the following: Administration Office, Finance Department, Front Desk, and Greeter.

QUALIFICATIONS :

  • High School Diploma
  • Valid Driver’s License.
  • Possess relevant administrative experience performing similar duties in the pastfive (5) years.
  • Possess experience in healthcare, government, or professional office environments.
  • Ability to pass a federal government background Check
  • Ability to provide proof of all vaccinations.
  • Ability to travel and support surrounding Indian Health Centers
  • Ability to immediately report to the Contracting Officer or COR any information or circumstances that may violate any statute, policy, or procedure.
  • Ability to manage all patient information in accordance withHIPAA standards, Privacy Act, and IHS Service Unit and/or Health Center specific policies and protocols.
  • Ability to adapt to and successfully utilize IHS information technology systems such as Electronic Health Records (EHR) or RPMS, which the IHS hasdeemed necessary for acceptable contractor performance.
  • Ability to follow all appropriate federal required information Technology security requirements and will be operating under Health Insurance Portability and Accountability (HIPAA) and Privacy Act regulations.

DUTIES:

         Receives and routes incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda and other forms of written communication. The assistant may need to obtain guidance on proper disposition of correspondence.

         Tracks controlled correspondence.

         Uses standard or form letters and replies to inquiries.

         Prepares outlines for correspondence and reports.

         Performs office automation duties to prepare documents such as correspondence, forms, and reports, which may include technical material, graphs, and charts.

         Enters information into established databases and similar systems which track various administrative activities.

         Services of a qualified typist are required.

         Keeps the appointment and meeting schedules for the Director and other senior staff members as directed.

         Serves as the point of contact for scheduling conference rooms and meetings.

         Schedules appointments, coordinates meetings, attends meetings, prepares meeting minutes, and follows up on action items.

         Receives calls and visitors from within and outside the organization.

         Responds to general inquiries and answers procedural questions regarding common work practices and policies.

         Resolves routine issues and refers complex matters to supervisors.

         Performs a wide variety of administrative tasks, including purchasing supplies in accordance with guidelines, maintaining filing systems, and assisting with travel documentation.

         Coordinates orientation for new staff and contractors and tracks required training.

         Performs other duties as assigned that are directly related to this position.

         Prepares travel requests for first duty or transfer employees and provides guidance on completing travel vouchers.

         Receives telephone and personal callers and utilizes knowledge of organizational programs, operations, and procedures to properly direct inquiries.

         Screens calls as needed and refers callers to appropriate personnel.

         Utilizes typewriter and word processor equipment to prepare final correspondence, including travel orders and memoranda.

         Ensures proper format, spelling, grammar, punctuation, clarity, and neatness.

         Takes fingerprints and ensures investigation documents are completed and forwarded to the Office of Federal Investigations Center, Boyers, PA.

         Performs timekeeping duties in ITAS for the Santa Fe Indian Health Center.

         Works under supervision in accordance with established policies.

         Maintains work hours from 8:00 am to 5:00 pm, Monday through Friday.

         Keeps supervisors informed of arrival and departure times.

         Other duties as assigned.

  • While performing the duties of this Job, the employee is regularly required to sit and talk or hear. The employee may use repeated motions that include the arms, wrists, hands, and/or fingers. The employee is occasionally required to walk, stand for extended periods of time, as well as climb, balance, stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision.

SCHEDULE & PAY:

  • 40hrs a weekMonday-Friday. 8-5pm, 1 hour lunch
  • May be required to travel to San Felipe, Cochiti, and Santa Clara Indian Health Center as needed.
  • Pay Rate: $35.68 p/hr
