WHO IS Alleghenies United Cerebral Palsy (AUCP)- AUCP is a non-profit organization founded in 1955. It started as a grassroots effort by a group of concerned parents who wanted to find support for family members aged 18 – 59 with physical and intellectual disabilities. Starting in a church basement, we have evolved into an organization serving over 4,000 lives 18 and older, with staff throughout WV. Our mission is to assist individuals with disabilities in meeting their basic needs, enhancing their quality of life, and promoting their independence while also allowing them to be active participants in the decision-making and direction of their services.

SUMMARY

The Administrative Support Specialist is responsible for providing general administrative, clerical, and organizational support across departments. This role assists with daily office operations, document management, communication, scheduling, data entry, and basic operational coordination to ensure efficient and organized workflow.

The position requires strong organizational skills, attention to detail, professionalism, and the ability to maintain confidentiality.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Provide general administrative and clerical support to multiple departments
  • Answer and direct phone calls, take messages, and respond to inquiries
  • Schedule meetings and appointments as directed
  • Prepare, organize, scan, copy, file, and distribute documents and correspondence
  • Maintain and update paper and electronic filing systems
  • Perform data entry and maintain databases and spreadsheets
  • Assist with reports, mailings, packets, and internal communications
  • Retrieve records and documentation for staff as needed
  • Monitor and maintain office supplies and assist with inventory tracking
  • Support billing, tracking, or documentation processes as assigned
  • Assist with maintaining compliance documentation and internal records
  • Coordinate basic office logistics, including equipment and vendor communication as needed
  • Operate standard office equipment (copiers, scanners, fax machines, computers)
  • Maintain confidentiality of sensitive information in accordance with agency policies
  • Assist with general office organization and day-to-day operational needs
  • Perform other duties as assigned by the supervisor

Qualifications:

  • High School Diploma or GED required
  • Previous clerical, administrative, or office experience preferred
  • Basic computer proficiency (Microsoft Office and/or Google Workspace)
  • Ability to pass required background clearances in accordance with agency policy
  • Valid Driver's License preferred

Physical Demands:

  • Ability to sit, stand, walk, and reach with hands and arms
  • Ability to use hands and fingers for keyboarding and document handling
  • Ability to lift up to 25 pounds
  • Ability to communicate clearly both verbally and in writing
  • Ability to manage multiple tasks and occasional high-stress situations
