The Academic and Clinical Department Administrator provides operational, academic, and clinical administrative leadership for the Department of Psychiatry. This role supports faculty, trainees, and clinical programs; manages departmental operations; and ensures compliance with institutional, accreditation, and regulatory requirements. The Administrator works closely with the Department Chair, Psychiatry Program Directors, JUP/JMG leadership, hospital partners, and university leadership to advance the department’s education, research, and behavioral health clinical missions.Core departmental program oversight includes Adult & Child outpatient services, Emotional Health and Wellness Program (EHWP), Student Counseling Center (SCC), Center City Clinic for Behavioral Medicine, and Consultation Liaison services. Farber Institute oversight includes the Jefferson Sleep Disorders Center and the David Farber ASPIRE Center directly and Jefferson Alzheimer’s Center indirectly.At all times, the Administrator supports the Chair’s leadership at the Jefferson Enterprise level.Job Description
Essential Functions
- Oversee daily departmental administrative operations, including workflow management, space planning, and resource allocation.
- Maintain departmental policies, procedures, and operational documentation.
- Support departmental budgeting, forecasting, and financial reporting.
- Monitor clinical revenue, faculty compensation components, and operational expenses.
- Manage recruitment, hiring, onboarding, and performance processes for faculty and staff.
- Oversee faculty appointments, reappointments, promotions, and credentialing.
- Provide guidance on HR policies, employee relations, and professional development.
- Oversee daily clinical operations, including workflow management, space planning, resource allocation, clinical productivity, quality metrics, and service utilization.
- Regulatory compliance knowledge and management to include compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies.
- Oversee academic operations for medical students, residents, fellows, and other trainees in psychiatry.
- Ensure compliance with ACGME, LCME, and institutional requirements.
Requirements
- Bachelor's Degree required.
- Master's Degree preferred.
- 5 years in financial administration, including budgeting experience.
- 1 year Strong background in Sponsored Grant accounting.
