Position Summary
The Admissions Systems & Technology Training Specialist is responsible for the administration, optimization, and support of all admissions-related technology systems across the University. This position works in partnership with the Information Technology (IT) team to ensure admissions technology platforms are properly configured, maintained, and integrated within the broader university technology environment.
The role supports CRM platforms, admissions software, and communication systems that enable the recruitment and enrollment process. The Specialist also develops and delivers technology-focused training for admissions teams across campuses, ensuring consistent system usage, data integrity, and adherence to established processes.
Key Responsibilities
Systems Administration & Technology Oversight
- Administer and support admissions software platforms, including CRM systems and communication tools.
- Manage system configurations, workflows, user roles, permissions, and automation processes within admissions platforms.
- Work in close partnership with the IT team to ensure proper system integrations, security protocols, and technical performance.
- Collaborate with IT on system upgrades, enhancements, and troubleshooting efforts.
- Serve as the primary admissions functional expert for CRM and admissions technology platforms.
- Monitor system performance and coordinate issue resolution with IT and external vendors.
- Ensure data integrity, accuracy, and compliance with institutional policies and data privacy standards.
- Document system workflows, procedures, and configuration standards.
Technology Training & User Support
- Develop and implement structured training programs focused on admissions technology systems.
- Create training materials, job aids, user guides, and system documentation for admissions staff.
- Conduct in-person and virtual technology training sessions for new hires and existing admissions personnel.
- Promote consistent system adoption and standardized operational practices across campuses.
- Provide ongoing user support and respond to system-related inquiries in a timely manner.
- Assess training effectiveness and update training materials as systems evolve.
Project Support & Process Improvement
- Assist with admissions technology implementations, upgrades, and process improvement initiatives.
- Partner with the IT team and admissions leadership on technology-related projects.
- Support reporting needs and data analysis related to admissions technology usage.
- Identify opportunities to improve workflows, automation, and operational efficiency within admissions systems.
Qualifications
Education & Experience
- Bachelor's degree required; relevant field preferred.
- 3-5 years of experience in admissions operations, CRM administration, enrollment technology, or related systems support.
- Experience working with complex software systems and enterprise technology platforms.
- Experience delivering technology-based training preferred.
- Experience collaborating with IT teams on system implementations or upgrades preferred.

Work Environment
This position operates in a professional office environment and may require occasional travel between campuses.
Physical Requirements
Ability to work at a computer for extended periods and deliver in-person or virtual training sessions.
