Job Description
We are looking for an energetic, articulate, and persuasive Appointment Setter to act as the driving force behind our sales calendar. In this role, your singular focus is to engage warm leads, inbound inquiries, or targeted cold prospects and turn interest into confirmed appointments for our senior sales team. The ideal candidate is comfortable with high-volume outreach, maintains a warm and professional demeanor over the phone or text, and is exceptionally organized when managing calendars and scheduling logistics.
Core Responsibilities
1. Outbound Engagement & Inbound Follow-Up
Execute consistent daily outreach via phone calls, SMS text, emails, and direct messages to engage prospects.
Respond rapidly to inbound marketing inquiries, website form submissions, and direct messages to capture interest while it is fresh.
Nurture cold or stalled leads through persistent, polite follow-up cadences to re-ignite conversations.
2. Pitching & Discovery Qualification
Deliver a concise, engaging elevator pitch that clearly articulates our value proposition and hooks prospect interest.
Ask strategic, foundational qualifying questions to ensure the prospect meets minimum criteria (e.g., budget, authority, need).
Overcome initial friction, brush-offs, and objections smoothly, shifting the focus of the conversation toward booking a dedicated strategy call.
3. Calendar Coordination & Scheduling Logistics
Coordinate directly with prospects to schedule discovery calls, audits, or demonstrations on the senior sales team's calendars.
Manage scheduling logistics across multiple time zones, ensuring zero double-bookings or calendar overlaps.
Send automated and personalized confirmation links, reminders, and agendas to minimize meeting no-show rates.
Log all interaction details, contact notes, and booking statuses accurately inside the company CRM.

Calendar management and scheduling tools (Calendly, Google Calendar, Outlook)
CRM tracking software (HubSpot, Salesforce, Close, Close.io)
Cloud dialers and VoIP communication platforms (Aircall, RingCentral, JustCall)
Social messaging platforms for prospecting (LinkedIn, Instagram DM, Facebook Messenger)
Basic data entry and text formatting fundamentals (Google Docs, Google Sheets)

Excellent verbal articulation, voice clarity, and active listening

Agility and ability to follow scripts while remaining natural and unrobotic
Key Performance Indicators (KPIs)
Booked Appointments: Meeting daily, weekly, or monthly quotas for total scheduled meetings.
Show-Up Rate: Maintaining a high percentage of booked prospects who actually attend the scheduled call (e.g., aiming for 80%+ show rate through diligent reminder workflows).
Lead-to-Booked Ratio: Maximizing the efficiency of the lead list by converting a high percentage of total assigned leads into scheduled appointments.
