Job Description

Area Manager - San Jose Bay Area

The Area Manager is responsible for leading all phases of operation of approximately 5 Communities stretching from San Jose to Marina, including, but not limited to, direct supervision and development of the onsite management team, financial performance to budget and accountability for the compliance, sales, resident relations and maintenance functions. This position ensures that Company standards are maintained across Communities by the management team and that each Community is performing optimally. They will keep the Sr. Regional Manager and/or Vice President informed of staff performance, property service levels and audit results. The position provides inspirational leadership, successfully promotes Company values, and creates an environment of exceptional customer service for employees, residents, prospective applicants and vendors.

Direct Reports Include: District Manager, Sr. Community Manager and Community Manager

Essential Duties and Responsibilities:

● Supervision and Direction of All Onsite Management Personnel

o Recruit, hire, develop and lead Community Managers, Sales Managers and Service Managers (the Community Management Team)

o Conduct succession planning with the Community Management Team to identify external talent and develop internal candidates to fill key positions at the Community level

o Provide feedback on performance and hold employees accountable by setting goals that are in alignment with the Company's expectations for each community

o Partner with Regional Managers and the Training Department to support training programs and development of the Community teams

o Provide coverage at communities in the absence of a Community Manager as needed

o Manage and provide Leadership to Community and Service Managers to ensure that retention goals, resident expectations, maintenance and esthetic goals for communities are achieved

o Conduct individual employee one-on-one meetings, team meetings and participate in daily huddles, to foster communication and collaboration amongst the Community Management Team and their direct reports

● Accountability for the Financial Performance of the Communities

o Conduct monthly financial review sessions with Community Managers, review budget variances, develop recovery plans as necessary, and be able to articulate the financial performance of each community

o Oversee development of Community strategies, draft community level budgets and assist with forecasting

o Ensure accountability for obtaining budgeted rents, expenses and occupancy goals throughout each Community

● Oversight of the Sales ( Market Rate Communities)

o Provide leadership and direction to the Sales Manager and team; ensure appropriate leasing and move-in goals are in place and achieved

o Audit prospect data within operating system to ensure proper data collection and that prospect activity management adheres to Company standards

o Ensure Company standards are maintained by attending Sales meetings, coaching sessions and by shadowing prospect tours

o Ensure website content, pricing, and ILS information is correct through periodic review

o Maintain strong market knowledge and ensure that competitive market analysis is completed on a regular basis

● Resident Retention and Customer Service

o Lead by example and ensure the Community Management Team are serving residents for all key touch points during the life of residency

o Audit operating system data on a periodic basis to ensure that resident data and compliance data are documented appropriately

o Ensure that the onsite recertification or renewal process is managed appropriately and that compliance or retention goals are achieved

o Evaluate Social Media reviews and survey data to determine customer experience opportunities

o Assist in the development of onsite lifestyle programs, such as LifeSteps, to promote the unique features of each Community while accommodating resident preferences

● Oversight of the Maintenance Function

o Provide direction to the Community Service Teams as required to ensure each Community is maintained according to Company standards

o Ensure Community Managers are working in conjunction with their Service Managers and Service Teams, to effectively oversee maintenance functions for their Communities

o Ensure Unit Turns and Maintenance Service Requests are completed in accordance with Company standards

o Ensure all preventive maintenance targets are completed in a timely manner

o Ensure all safety policies and regulations are followed at communities

  • Technical/Professional Knowledge

o Required to attend monthly Regional and Operation Meetings

o Effective oral and communication skills; ability to give direction and respond to inquiries timely and be able to speak effectively before groups of associates in the organization

o Understand accounting principles and budget process. Ability to read and interpret numerical information

o Outstanding customer service skills that set the example and expectation for the communities

o Knowledge of the Tax Credit Programs

o Strong management skills required including supervising, planning, organizing and coordinating tasks

o Ability to negotiate and resolve conflicts

o Ability to build and lead a high-performing team

o Proficient with Microsoft Office Products (Word/Excel/Outlook) Yardi and Entrata

o Prior experience supervising, training, coaching, counseling, developing, mentoring, interviewing, hiring, terminating; ability to effectively lead by example

o Demonstrate leadership and strategic thinking skills

o Ability to delegate, follow through and multi-task

Requirements:

o Two or four year college degree preferable; CCRM, ARM, CAM or similar property management designations accepted.

o Minimum of two years property management experience preferably at a Tax Credit property.

Compensation: $105,000 - 120,000 per year plus annual bonus potential, depending on expereince

Work Environment

The Area Manager will office at their assigned portfolio and the corporate office and interfaces with external/internal customers, residents and vendors on a regular basis. The position work schedule varies. Office hours are usually scheduled from 8:30 a.m. to 5:30 p.m. Monday through Friday, however Saturday and/or Sunday work schedule may be required. The Area Manager should be highly flexible and readily available. Must be able travel to sites 75% - 80% of time as needed, for business purposes. Occasional travel to the Roseville corporate office required.

Physical Requirement

While performing the duties of this job, the associate is frequently required to stand, walk, sit, use hands and reach with hands and arms, stoop, kneel, talk, hear, read and use a telephone and personal computer. May be required to lift and/or move up to 25 pounds. Must be able to drive during the course of work.
