Assistant Hotel Operations Manager - Guest Facilities

Job Description Summary

Under the supervision of the Operations Manager- Guest Facilities, the Assistant Operations Manager – Guest Facilities is responsible for assisting in all areas defined as a part of the Operations Manager job description. This is a management role that will directly and indirectly supervise individuals, building staff, operations, and coordinate the various functions. Primary responsibilities include ensuring client facilities generate a satisfactory cash flow, the property is maintained in accordance with client standards and requirements and customer satisfaction.

Essential Job Duties

  • Manage the building staff in the absence of the Operations Manager or Property Manager. Includes all managerial functions, which are included in the Operations Manager and Property Manager job descriptions, or as directed by the Operations Manager
  • Monitor the accounts receivable, accounts payable, and purchase requisitions of housekeeping and front desk department 
  • Collect payments, invoices, outstanding balances and record all expenditure and generated revenue from guest facility 
  • Respond to guest enquiries and assist with resolution of guest issues 
  • Demonstrate knowledge of health and safety compliance inclusive of OSHA. Manage all audit processes to a high standard, ensuring 100% Health and Safety compliance throughout the guest facility
  • Oversee maintenance of work order and purchase order systems, update and maintain office procedures in the property Operation’s Procedure Manual
  • Vendor negotiations with contractors and suppliers to reach a fair bargain for materials and services  
  • Responsible for aspects of annual budgets preparation, reservation reconciliations, and monthly financial reports, as well as preparation of bank deposits
  • Oversee the processing of management and maintenance staff hours, expense reports, check requests for review and approval
  • Inspect guest rooms, guest areas and employee areas and assess compliance with all established standards as they relate to cleanliness, maintenance, safety, and security
  • Must have Fire Life Safety Director Certificate (FLSD) or must obtain FLSD license within 180 days of hire date

    IMPORTANT EXPERIENCE

  • 2+ years of real estate property management or related experienceADDITIONAL ELIGIBILITY QUALIFICATIONS
  • Active Real Estate license in the state worked in OR RPA or CPM professional designation(s)
  • Basic understanding or computer software programs and base building systems
  • Basic understanding of the reconciliation process for CAM, insurance and real estate taxes, and lease terms
  • Ability to assign tasks and manage others’ workloads

    WORK ENVIRONMENTThis job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.

    PHYSICAL DEMANDSThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to travel from floor to floor, climb stairs, and may be required to travel outside between buildings in varying outdoor weather conditions.
