Job Description

ASSISTANT PROJECT MANAGERThis position is responsible for completing projects and verifying that they meet expectations regarding quality, schedule, plans, specifications, and budget. You will also act as a liaison between the project owner and Ross Group.This role includes assignment to a complex federal construction project supporting a mission-critical government facility. The project involves specialized systems integration and requires close coordination with specialized equipment integrators and government representatives throughout the project lifecycle.

In this role you will…

Project Mobilization
  • Assist project management in arranging for jobsite utilities and temporary controls and assist in setting up a field office.
  • Obtain needed permits and contract documents; ensure all subcontractors have appropriate permits.
  • Navigate base access, security clearance, and badging requirements for all subcontractors and team members.
  • Manage the setup and administration of the project's electronic construction and contract management system to control document routing, submittals, and RFIs.
Submittals, Procurement & Administration
  • Maintain and update office copies of plans and specifications.
  • Review submittals and prepare submittal logs, including for highly technical, industrial-grade equipment, and maintain the master submittal register.
  • Ensure all equipment — including long-lead and specialized materials — is properly scheduled, tracked, and monitored upon arrival.
  • Prepare proposed change logs; obtain quotations from subcontractors and write subcontract change orders.
  • Assist project management in preparing price changes; prepare quotations and purchase contracts for the owner.
  • Distribute plans, specifications, and addenda to subcontractors.
  • Consult with relevant parties, including specialized equipment integrators, to answer subcontractor RFIs and manage RFIs and action items related to complex facility systems and controls integration.
  • Monitor all back charges.
  • Ensure all subcontracts are signed and returned promptly.
  • Set up and maintain a plan distribution log.
Field Operations & Quality Control
  • Work alongside the superintendent and quality control manager to implement the project's formal phases of control (preparatory, initial, and follow-up).
  • Champion the site's Foreign Object Debris (FOD) management plan, enforcing a “clean as you go” approach and strict tool control among all trades.
  • Monitor project progress for adherence to plans, specifications, and as-builts.
  • Monitor any material received on site.
  • Monitor regulated environmental constraints, including the tracking and disposal of contaminated soils and dewatering effluent, in coordination with the environmental manager.
  • Prepare RFIs and maintain a log.
  • Maintain notes on all conversations and correspondence.
  • In conjunction with other staff members, anticipate and take steps to correct any deficiencies.
Reporting & Cost Support
  • Assist project management in calculating weekly labor costs.
  • Assist in the preparation of reports.
Closeout
  • Assist in the preparation of as-builts.
  • Assist in the preparation of all closeout documents, ensuring closeout procedures follow specifications.
  • Confirm completion of final subcontractor change orders.
  • Assist in executing the project's formal facility turnover process.
  • Coordinate the verification and validation phase, supporting factory acceptance testing, site acceptance testing, and live equipment correlation.
  • Ensure operation and maintenance (O&M) manuals, facility data workbooks, and all required documentation are meticulously compiled and provided to the owner.
  • Switch all utilities into the owner's name and assist in obtaining a Certificate of Occupancy.

As the ideal candidate you…

  • Have three to five years' experience in construction management, with a Bachelor's degree in Construction Management, Civil Engineering, or Mechanical Engineering.
  • Have a proven successful project history of maintaining quality, schedule, safety, and actual cost versus estimated cost; you excel at managing rapidly changing priorities to accomplish project goals.
  • Have federal or heavy industrial construction experience, which is highly preferred given the technical complexity of this project.
  • Hold, or are capable of rapidly obtaining, current Construction Quality Management (CQM) for Contractors certification.
  • Possess the technical aptitude to understand complex mechanical, electrical, and structural systems.
  • Use strong verbal and written communication skills to interact with all levels of employees, Ross Group management, and outside partners such as owners, architects, engineers, subcontractors, and suppliers.
  • Don't mind flexible work hours, with an average of 50 hours per week or as needed, including support for critical milestones and testing phases.

  • Working to increase your job knowledge, exhibiting the ability to learn and apply new skills.

  • Work outdoors in extreme conditions such as cold, heat, and humidity on an occasional basis.
  • Stand, climb, bend, and stoop on an occasional basis.
  • Use visual and auditory skills.
