Job Description

Assistant RegistrarThe Assistant Registrar provides leadership, in conjunction with the Registrar, for the planning, organization, and management of all activities related to the Office of the Registrar, serving as an assistant official authorized to maintain the university's student records. The position assists in managing daily operations of the office and staff, and the position has significant responsibility regarding maintaining and optimizing all data systems within the Office of the Registrar. The Assistant Registrar has a primary focus on supporting transfer students. The position helps students make a smooth transition to the University of Mary by evaluating transfer credit, supporting academic planning, and maintaining curriculum information within the student information system.Candidates will be invited to demonstrate a willingness to support the Christian, Catholic, Benedictine mission of the University of Mary.Benefits Include:

Essential Roles and Responsibilities Include:
  • Responsible for the day-to-day interpretation, implementation, and communication of policies and procedures of the university, state and federal agencies, and higher education accreditors.
  • Coordinates the collection, maintenance, and reporting of student records within FERPA & institutional policy guidelines, such as grades, registration data, and transcripts. Determine and maintain FERPA protections and releases for students and families or other stakeholders.
  • Transfer student support:
  • Performs accurate academic transcript evaluations, completing both unofficial and official transcript evaluations; develops prospective degree plans for incoming transfer students; assists with transfer student advising and registration; and maintains database records of comparable course equivalencies.
  • Curriculum support:
  • Coordinates with senior registrar staff, faculty, and university departments regarding degree requirements, program adjustments, articulation and transfer credit policy, and catalog enforcement. Creates, edits, and maintains Academic Plans/program curricula in the Jenzabar One advising module; updates student degree progress/requirements based on approved transfer credit waivers and substitutions; articulates transfer work related to academic programs and catalog requirements.
  • Creates and maintains a procedure manual for processing degree plans.
  • Assists with the development and delivery of training programs for advisors.
  • Performs enrollment verifications and transfer credit eligibility reviews for NCAA student athletes.
  • Supports maintenance of articulation agreements with external educational institutions, such as 2+2s or other transfer agreements.
  • Assists with the maintenance of student records, registration for courses, and other essential tasks, following quality control standards.
  • Assists with graduation processing and the commencement ceremony. Assists with degree conferrals.
  • Addresses student complaints and provides solutions.
  • Performs other related duties as assigned.
Desired Minimum Qualifications, Education, and Experience Include:
  • Required: Bachelor’s degree from an accredited university.
  • Preferred: Master’s degree from an accredited university.
  • Required: A minimum of one (1) year of related work experience or equivalent education or training.
  • Preferred: Previous experience evaluating transcripts and/or competency exams for course equivalencies and/or higher education work experience
  • Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities.
  • Builds a culture of ready and earnest hospitality in the Office of the Registrar and throughout the university, in accord with Saint Benedict’s admonition that all be received as Christ.
Knowledge and Skills Required:
  • Familiarity with educational technology: working knowledge of Jenzabar One or another SIS; classroom scheduling applications such as AdAstra, Modern Campus Schedule, or Series25; SharePoint; PowerFaids; Slate or another student CRM; and/or Canvas or another learning management system preferred
  • Proficiency with Microsoft Office 365 software applications
  • Ability to perform accurate and timely data entry
  • Critical thinking and problem-solving skills
  • Attentiveness to detail
  • Ability to manage multiple projects with minimal supervision
  • Ability to research, compile, and summarize a variety of information
  • Strong interpersonal, organizational, and written and verbal communication skills
  • Ability to interpret and apply laws, rules, guidelines, and regulations related to assigned activities and to maintain compliance with all applicable laws, rules, and regulations, including FERPA
