Reports to: Vice President, Member Relations and Awards AdministrationJob Type: Full-time – Regular Job Classification: Salaried (Exempt) Workplace Location: Los Angeles – 8949 WilshireCompensation: $90,000.00 - $92,000.00Summary/Objective:The Associate Director provides high-level administrative and operational support to the Vice President, Member Relations and Awards Administration. This role leads and develops the year-round administrative and logistical support for the International Feature Film Award category and serves as the primary liaison for the Directors and Writers Branches, supporting all related business functions, including rules, membership review, award submissions, etc.The Associate Director oversees one direct report (Senior Coordinator) and supports a wide range of meetings, events, and special projects, including Executive Committees, Subcommittees, Task Forces, Board of Governors, branch and category events, Oscar Week programming, the Oscars, related events, and Member Receptions.This position requires a highly organized, proactive, and diplomatic professional who demonstrates sound judgment, discretion, and strong ethical standards. The ideal candidate is globally aware, detail-oriented, tech-savvy, and able to anticipate needs while effectively managing multiple priorities in a fast-paced environment. Strong communication skills, innovative thinking, and a collaborative mindset are essential to support workflow improvements and cross-functional partnership.Essential Functions of the Job:- Report directly to the Vice President, Member Relations and Awards Administration on all matters related to the International Feature Film Award category and its year-round submissions process.
- Lead the management and facilitation of Branch Executive Committee meetings, Task Forces, and subcommittee meetings as needed, including scheduling, preparing, and presenting material as it relates to the Directors, International Feature Film Award, and Writers branches and categories.
- Support the awards administration process and special projects.
- Create and maintain data, demographics, records, and documents pertaining to the International Feature Film, Directors Branch and Writers Branch.
- As the branch liaison, work towards developing further member engagement through Branch member events, programs and initiatives.
- Maintain organized and consistent meeting minutes and reports including attendance numbers for immediate delivery for executive review.
- Organize and oversee the delivery of required materials for film submissions in the International Feature Film, Writing and Directing categories, including physical and digital media.
- Create, review, proofread, and edit a variety of documents, press releases, and communications for accuracy, proper formatting, and spelling to ensure consistent and correct output.
- Build and maintain year-round diplomatic relationships with the global organizations submitting to the International Feature Film Award, including independent filmmakers, film organizations, and commissions.
- Main consistent contact with all International Feature Film Award voters and respond to questions and concerns related to the voting process.
- Oversee all International Feature Film Award technical system building in conjunction with the Academy IT team.
- Facilitate year-round communication between the Awards team and other departments, Selection Committees, film distributors, filmmakers, Academy Members, Executives, and the public.
- Promptly respond to inquiries and issues regarding rules and bylaws by overseeing 3 email inboxes related to the International Feature Award.
- Oversee organization and production shortlist screenings related to the International Feature Film Award.
- Produce and lead events, receptions, or gatherings (live or virtual) related to the International Feature Film Award, the Directors Branch, and the Writers Branch, including budgets, RSVPs, logistics, execution, and post-reports.
- Work closely with the Academy Museum on organizing, inviting, and producing the Oscar Week events.
- Support the Member Relations and Awards Administration team with tasks related to Oscar day, Governors Awards, and other high-profile events.
- Assist in compiling materials for the Academy Membership Review process when requested.
- Other duties and special projects as assigned by the VP and Chief.
- Bachelor's degree in Film, Media, or International Relations.
- 8+ years of administrative experience with a film organization (global film industry preferred).
- A minimum of 1-2 years of team management experience.
- Experience in public speaking and leading presentations in public settings.
- Proficiency in technical aspects related to film materials, including film trafficking, media QCing, and troubleshooting of media deliverables.
- Ability to work with discretion and professionalism in certain environments, such as environments with high-level executives, VIPs, Board of Governors, Academy Members, and the public.
- Ability to always maintain professionalism and confidentiality.
- Advanced skills in Microsoft Office Suite applications (Outlook, Word, Excel, and PowerPoint).
- Highly professional verbal and written communication skills with special attention to detail and accuracy.
- Ability to work independently and cooperatively with other members of the Member Relations and Awards team, as well as other Academy departments and outside companies.
- Work with the Membership admin team in answering phones and replying to emails as needed on a rotational basis.
- Ability to work and meet deadlines under pressure and change tasks as needed.
- Availability to work some nights and weekends, sometimes on short notice.
- Must have reliable transportation.
- Experience working with international governments, companies, or organizations preferred.
- Proficiency in a second language is preferred.
- Print trafficking and programming slotting experience preferred.
- Experience with relational databases recommended; CRM and Airtable proficiency desired.
