Job Description

The Associate Director of Finance is a leadership role within AACI's Finance department responsible for supporting the financial operations, budgeting, reporting, and compliance functions of the organization. This position reports to and works closely with the Chief Financial Officer to oversee financial planning and analysis, monitor program and contract performance, and ensure compliance with nonprofit, healthcare, and federal grant requirements.

The Associate Director of Finance serves as a partner to program and operational leaders, helping translate financial data into actionable insights that support organizational decision-making and program sustainability. This role also provides leadership and supervision to finance staff and supports the continued development of financial systems, reporting processes, and internal controls.

This is a hybrid position based in San Jose, California, minimum of 2 days per week in office, with additional in-office time as needed.

Core Responsibilities

Financial Planning, Budgeting, and Forecasting

  • Lead the development of the annual operating budget and program budgets in collaboration with program and executive leadership.
  • Monitor actual performance against budget and provide variance analysis and recommendations throughout the year.
  • Develop and maintain financial models to support strategic planning, program growth, and organizational decision-making.

Financial Reporting and Analysis

  • Manage and oversee financial reporting processes and optimize reporting templates.
  • Provide financial analysis and reporting to program leaders to support program performance, funding optimization, and decision-making.
  • Monitor and evaluate financial and operational outcomes of programs and services and support program managers in developing measurable outcomes.
  • Prepare monthly program and financial reports for leadership and funders.

Leadership and Staff Management

  • Directly supervise the Finance Manager, Finance Analyst, and Billing Manager.
  • Mentor and evaluate staff performance and support professional development and training.
  • Participate in recruitment, hiring, and retention efforts for finance department staff.
  • Oversee department deliverables and workflows to ensure accuracy and timeliness.

Revenue Cycle and Billing Oversight

  • Provide high-level oversight of revenue cycle management operations, including monitoring key performance indicators, claims submission, collections, and cash flow trends.
  • Partner with operational leaders to improve revenue performance and revenue cycle processes.
  • Oversee revenue recognition for patient service revenue, ensuring compliance with accounting standards and organizational policies.

Grants, Contracts, and Compliance

  • Oversee contract fulfillment and monitor progress on contract deliverables and reporting requirements.
  • Assist with grant budgeting, reporting, and financial compliance requirements.
  • Support fiscal compliance with federal, state, and grant requirements, including HRSA Health Center Program requirements and Uniform Guidance (2 CFR Part 200).
  • Assist the CFO with developing and implementing financial policies, procedures, internal controls, and risk management practices.

Organizational Collaboration and External Relations

  • Build strong relationships with program and operational leaders and serve as a financial partner across the organization.
  • Represent the Finance department with funders, auditors, program monitors, community partners, and at association meetings or conferences.
  • Coordinate financial activities and reporting with other departments and programs across the organization.
  • Complete other duties and related projects as assigned.
