The Back Office Medical Supervisor is responsible for supervising the clinical and administrative functions of the back office at our Newport Beach location. This requires working knowledge of the duties of medical assistants. The Back Office Medical Supervisor must train and manage staff, identify improvements to operational processes. Ability to address situations as they arise, to schedule and prioritize workloads, and to enforce company policies and procedures is required. The Back Office Medical Supervisor is a representative of the institute, and must maintain the professionalism, maturity, and positive attitude necessary to facilitate a high performing and effective team.
RESPONSIBILITIES:
Supervisory:
- Assigns, directs and ensures tasks are being completed for back-office employees such as Medical Assistants, Cast Technicians, X-Ray Technicians, and all others
- Oversees appropriate staffing levels based on volume to ensure adequate office coverage; including appropriate use of staff overtime
- Communicates regularly and effectively with MD about patient flow issues and participates in improvement efforts.
- Supervise and evaluate staff, including but not limited to: complete employee reviews; keep accurate records of employee attendance and timesheets; provide positive direction to motivate quality performance; provide guidance to personnel
- Arrange meetings with back-office staff on monthly basis
- Maintains a high degree of knowledge of the policies and procedures of the practice, drawing upon years of medical assisting or clinical experience
- Interviews and makes hiring recommendations for new Medical Assistants
- Observes infection control techniques (ie hand washing) of clinical staff (MAs, Orthopedic Technicians, X-Ray Technicians) and ensures timely documentation and submission of educational efforts with clinical staff.
- Enhances patient visits with provider by providing ongoing education to patients regarding treatments, disease processes, health maintenance and medication adherence.
- Assists providers with exams and treatments as needed.
- Serves as the facility representative for patients, families, visiting physicians and other medical practice representative.
- Represent Newport Orthopedic Institute, "Motion is Life", its mission and principles while working with clients, social service organizations, health agencies and the larger community.
Compliance:
- Ensures employees are in compliance with renewal of certifications (x-ray, phlebotomy, etc.)
- Streamline and increase efficiencies of back-office procedures
- Works with Manager to comply with operating budget for office site(s).
- Ensures correct documentation and recording of all pertinent information in the patient's chart in compliance with Clinic policies, contract requirements and government regulations.
- Demonstrates a thorough knowledge of infection control procedures; strictly adheres to policies and procedures.
- Ensures clinical staff observe, record and report to providers patient/client condition and reaction to medications and treatments.
- DME liaison – learn all rules, regulations, and restrictions for DME. Inventory should be reported to you for further management
- Monitor Fee Ticket completion with a 24 hour turnaround time
- Monitor that all tasks are being completed within the 72 business hour turnaround time frame (disabilities, authorizations, etc.)
- Conduct regular inspections and maintenance of systems and equipment; monitor fire alarm control panels and other emergency equipment as directed by the Director of Compliance
- Ensure compliance with company or government regulations (OSHA, HIPAA, etc.)
- Regulates that all physicians are in compliance according to NOI guidelines (eRx, tasking, patient tracker, etc.)
- Monitors staff compliance to dress code and badge policy at all times in patient/client care areas.
- All other duties as assigned.

QUALIFICATIONS:
- Three to five years of clinical back office or physician practice management experience preferred
- Knowledge of workflow processes of physician practice.
- Demonstrated leadership and training skills required
- Bachelor’s Degree preferred.
- CCMA preferred
- Current BLS certificate
Typical Physical Demands
Position requires prolonged sitting, some bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports and may need to lift up to 25 pounds.

Pay Range: $28.00-$35.00 depending on experience
