Job Description
We are seeking a reliable, organized, and compassionate Behavioral Health Outpatient Scheduler to support front desk operations for a large outpatient behavioral health practice in Ocean County, NJ. This role serves to ensure appointments are scheduled accurately, communication is timely, and client flow is smooth and professional.
Position Title: Outpatient Scheduler
Responsibilities:
- Respond to scheduling assignments, and provide courteous assistance to clients, families, clinicians, and referral sources.
- Schedule, cancel, and reschedule outpatient behavioral health appointments while maintaining accurate provider calendars.
- Confirm appointment details, communicate changes promptly, and help manage cancellations, waitlists, and urgent scheduling needs.
- Collect and update client demographic, insurance, referral, and contact information in the electronic health record or scheduling system.
- Coordinate with clinicians and front desk staff to support efficient daily operations and timely access to care.
- Maintain confidentiality and handle client information in accordance with HIPAA and agency policies.
- Assist with general front desk duties, including check-in support, messages, documentation follow-up, and other administrative tasks as needed.
- Provide a calm, professional, and welcoming experience for clients seeking behavioral health services.
Requirements
- High school diploma or equivalent required; additional administrative or healthcare training preferred.
- Prior experience in medical scheduling, behavioral health, outpatient services, front desk operations, or customer service strongly preferred.
- Strong communication, organization, and multitasking skills.
- Comfortable using phones, email, scheduling systems, and electronic health records.
- Ability to remain professional, patient, and compassionate in a fast-paced environment.
- Excellent attention to detail and ability to maintain accurate records.
- Knowledge of HIPAA and confidentiality expectations preferred.
