Bilingual Medical Front Desk & Scheduling Representative

Excel Medical Imaging is seeking a dependable, professional, and patient-focused Bilingual Medical Front Desk & Scheduling Patient Representative to join our outpatient diagnostic imaging practice in New Port Richey, Florida.

This position serves as one of the primary points of contact for our patients and referring offices. The representative will greet and register patients, answer incoming calls, schedule imaging examinations and procedures, communicate preparation instructions, and help ensure that each appointment has the correct order, demographic, insurance, and authorization information.

The ideal candidate is fluent in English and Spanish, communicates clearly and compassionately, remains organized in a busy environment, and can manage multiple responsibilities without sacrificing accuracy or patient service.

Primary Responsibilities

  • Greet patients and provide professional, courteous front-desk assistance.
  • Answer and route incoming telephone calls promptly and appropriately.
  • Schedule and reschedule diagnostic imaging examinations and procedures.
  • Confirm examination orders, diagnoses, patient demographics, insurance information, and referring-provider details.
  • Provide patients with accurate appointment times, preparation instructions, arrival requirements, and necessary paperwork.
  • Communicate fluently with English- and Spanish-speaking patients, including explaining routine scheduling and examination-preparation information.
  • Register and check in patients and obtain signatures, identification, insurance cards, and required forms.
  • Collect copayments, deductibles, self-pay amounts, and outstanding balances when applicable.
  • Verify that required orders, authorizations, laboratory results, prior imaging, and supporting clinical documentation have been received.
  • Identify incomplete or conflicting information and obtain clarification before the patient’s appointment.
  • Coordinate with technologists, clinical staff, referring offices, authorization staff, and management.
  • Maintain accurate documentation in the practice-management and scheduling systems.
  • Protect patient confidentiality and comply with HIPAA and practice policies.
  • Assist with appointment confirmations, missed-appointment follow-up, records requests, document scanning, and other administrative duties.
  • Help resolve patient concerns calmly and escalate clinical, financial, or scheduling questions appropriately.

Qualifications

  • Fluent verbal communication in English and Spanish required; professional written proficiency strongly preferred.
  • High school diploma or equivalent required.
  • Previous medical front-desk, medical scheduling, call-center, or patient-access experience preferred.
  • Diagnostic imaging, radiology, or specialty medical-office experience strongly preferred.
  • Strong computer, telephone, data-entry, and multitasking skills.
  • Excellent attention to detail and ability to follow modality-specific scheduling requirements.
  • Professional demeanor and strong customer-service skills.
  • Ability to remain composed when managing anxious patients, scheduling conflicts, high call volume, or competing priorities.
  • Familiarity with medical terminology, insurance verification, prior authorizations, HIPAA, and electronic medical records is preferred.
  • Reliable attendance and punctuality are essential.

A successful coordinator schedules patients accurately, communicates preparation instructions clearly, identifies missing information before the appointment, protects patient confidentiality, collects required payments appropriately, and provides a consistently welcoming experience to patients and referring offices.
