Job Description

Service Billing Specialist

The Billing Specialist plays a key role in ensuring service work orders are reviewed, processed, and invoiced accurately and on time. This position is responsible for validating labor, materials, equipment, subcontract, and other billable costs; preparing clear and accurate invoices; resolving billing issues; and partnering with technicians, coordinators, managers, vendors, and customers to support the billing process. The Billing Specialist also manages billing exceptions, maintains customer billing records, and helps ensure work orders are completed in accordance with company standards and the Service Billing SOP.

A Day in the Life

  • Review and prepare service work orders for billing.
  • Verify labor, material, equipment, and subcontractor costs.
  • Create accurate invoice documentation and process customer billing requirements.
  • Research and resolve billing discrepancies and exceptions.
  • Collaborate with technicians, coordinators, managers, vendors, and customers.
  • Monitor billing queues, reports, and aging work orders.
  • Maintain billing records and supporting documentation.
  • Support other administrative and operational functions as needed.

You should have

  • High school diploma or equivalent
  • 3-5 years of experience in billing, accounting, customer service, or administrative support, preferably within the construction, service, or trades industry.
  • Familiarity with industry terminology, work orders, labor billing, purchase orders, and job costing is preferred
  • Strong attention to detail and a commitment to accuracy
  • Ability to research, analyze, and resolve billing-related issues
  • Strong problem-solving and critical-thinking skills
  • Proficiency in Microsoft Office, including Excel and Outlook
  • Effective communication skills with the ability to interact professionally with customers and internal teams
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment
  • Ability to work independently while maintaining a high level of accountability
  • Ability to meet deadlines and maintain a sense of urgency while managing a high volume of work
  • Experience with document management systems such as Service Titan, Penta and OnBase is preferred
