Job Details

We are seeking a detail-oriented Construction Billing Specialist to support our accounting and project teams with billing, accounts receivable, and revenue tracking across multiple active projects. This role is critical in ensuring accurate and timely invoicing to general contractors, while maintaining compliance with contract terms and construction billing standards.

The ideal candidate has experience in the construction or subcontracting industry and is comfortable managing progress billing, retainage, and project-based accounting.

Key ResponsibilitiesPrepare and submit progress billings for multiple projects, including percentage-of-completion and milestone-based invoicingGenerate and manage AIA billing documents (G702/G703)Track and reconcile contracts, change orders, and retainage balancesMonitor accounts receivable aging and follow up with general contractors on outstanding invoicesCollaborate with project managers to ensure accurate billing based on job progress and approved changesMaintain billing schedules and ensure alignment between earned revenue and billed amountsProcess and track lien waivers and other compliance documentationAssist with month-end close, including AR reporting and revenue reconciliationMaintain organized documentation for all projects and billing activity

Qualifications2+ years of experience in construction billing, AR, or project accounting

Strong understanding of:Progress billingRetainageChange ordersConstruction contract termsHands-on experience with AIA billing requiredProficiency in accounting software such as QuickBooks, Sage, or similar systemsStrong Excel skills and attention to detailAbility to manage multiple projects and deadlines simultaneouslyExcellent communication skills for working with project managers and external clientsPreferred QualificationsExperience working for a subcontractor or construction materials company (doors, windows, millwork, etc.)Familiarity with revenue recognition principlesExperience handling high-volume project billing environments
