Department: Calvin Academy for Lifelong Learning (CALL)

Division: Advancement Division

Supervisor: President of CALL and Advancement Representative

Status: Non-exempt

FTE: 0.4 (16 hrs/week)

Position Summary

The CALL Program & Finance Coordinator provides administrative, financial, and operational support to the Calvin Academy for Lifelong Learning (CALL). This role is responsible for daily fiscal operations, financial reporting, program coordination, and support of digital platforms used for registration and course delivery. The position collaborates with the CALL Program Director, CALL committees, and university partners to ensure effective program administration and member services.

Essential Duties and Responsibilities

Financial Management

  • Manage daily financial operations, including payment processing, expense tracking, deferred revenue reporting, course and membership analysis, and account reconciliation.
  • Prepare accurate financial reports for the CALL Finance Committee and the Program Director.
  • Assist with membership revenue tracking, budget preparation, forecasting, and financial planning.
  • Coordinate with Calvin University’s Financial Department to ensure compliance with financial controls and reporting standards.
  • Support documentation for philanthropic gifts and grant-related activities.

Program and Operational Support

  • Provide administrative support for course promotion, registration processes, and member engagement activities.
  • Support assigned special projects and CALL events.
  • Maintain accurate program records and support data organization for reporting and planning.
  • Share responsibility for operating livestreams for CALL courses during scheduled sessions.

Technology and Delivery Support

  • Support digital platforms used for registration, communication, and online course delivery.
  • Assist with setup, operation, and troubleshooting of livestreams, recordings, and remote session technology.
  • Help maintain and update CALL’s website and related online portals.
  • Provide basic technical assistance to instructors, guest speakers, and participants.

Ongoing Performance

  • Timely and accurate completion of financial reporting and activity tracking.
  • Effective support of communication tasks as assigned.
  • Positive collaboration with CALL teams, committees, university offices, and members.
  • Demonstrated initiative, teamwork, cultural competency, and professionalism.
  • Reliable adherence to deadlines within part-time work hours.

Skill Requirements

  • Proficiency in basic financial analysis and data organization.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently with limited supervision.
  • Customer-service orientation, with the ability to work effectively with diverse audiences.
  • Basic competency in budgeting and financial record keeping.
  • Proficiency with Microsoft Office; experience with Workday and Salesforce preferred but not required.
  • Ability to manage multiple priorities within part-time hours.
  • Willingness to learn basic livestreaming technology.

Education and Experience

  • Bachelor’s degree preferred; coursework or experience in business, communications, or related fields is beneficial.
  • Experience in financial coordination, administrative support, or related work preferred.
  • Experience in higher education or nonprofit settings is a plus.

Physical Requirements

  • Work performed in a standard office environment with minimal exposure to hazards.
  • Use of a keyboard for data entry and document preparation.
  • Review of printed and digital materials.
  • Occasional lifting of materials up to 40 lbs.
  • Ability to remain stationary for extended periods.
  • Occasional movement of small equipment used for livestreaming.
