DEFINITION AND DUTIES:

Under supervision, performs tasks which may be routine and repetitive, but are usually not readily learned, which require some independent judgment and policy interpretation.  Verifies the accuracy and adequacy of lists, applications and/or forms; issues legal documents such as licenses and permits to members of the public; answers the telephone and, when necessary, routes calls; interacts with members of the public both in person and over the telephone to advise them on a full range of departmental policies and procedures and their application.

Knowledge of:

  • Current office procedures and practices
  • Mathematical computations
  • English language to include grammar, sentence structure, spelling, and punctuation

Ability to:

  • Learn, apply, and articulate departmental policies and procedures
  • Make decisions requiring interpretation of policy
  • Collect data, keep accurate records, and prepare reports
  • Represent Johnson County and perform duties in a professional, responsible and trustworthy manner 
  • Operate common office equipment such as typewriters, calculators, cash registers, fax and postage machines, photocopiers, multi-line telephones, and scanners
  • Use a computer for the purposes of data entry, spreadsheets, and word processing, e-filing, email and the Internet
  • Maintain confidentiality and security of information as appropriate
  • Interact effectively with persons from widely divergent backgrounds, interests, and points of view
  • Provide customer service that is courteous and responsive
  • Establish and maintain effective working relationships with co-workers, supervisors, and members of the public
  • Organize and prioritize multiple tasks
  • Make bookkeeping entries and complete business forms
  • Be detail-oriented when working with documents and information
  • Perform clerical tasks with a high degree of speed and accuracy
  • Type from dictation and/or otherwise drafted correspondence
  • Handle low to moderate levels of stress, meet deadlines and solve problems appropriate to the position
  • Follow oral and written instructions
  • Have clarity of speech, hearing, and writing which permits effective communication
  • Have sufficient vision which permits moderate to heavy production and review of a wide variety of materials both in electronic and hardcopy forms
  • Have sufficient manual dexterity to make handwritten notations and which permits moderate to heavy use of a keyboard and mouse
  • Stand, sit, squat, kneel, bend, twist, reach, and use a step stool as needed
  • Lift and/or move up to 35 pounds as needed
  • Work flexible schedule and occasional overtime as needed

MINIMUM EDUCATION, TRAINING AND EXPERIENCE:

High school graduate or equivalent AND six (6) months of clerical experience; OR any equivalent combination of education and experience which provides the required knowledge, skills and abilities.

SPECIFIC DUTIES:to be performed satisfactorily with or without reasonable accommodation

The following duties are normal for this position.  These are not to be construed as exclusive or all inclusive.  Other duties may be required and assigned.

  • Assists Public Health staff with office communications including greeting the public, responding to inquiries, answering and directing phone calls, and taking messages.
  • Prepares outgoing mail and processes incoming mail.
  • Provides clerical support services to all three divisions (Administration, Community Health and WIC/MCH) such as scheduling appointments and meeting rooms and taking minutes at meetings as directed.
  • Prepares and maintains vouchers, monthly budget records, state quarterly and annual budget reports and monthly billings for grant programs.
  • Performs data entry.
  • Orders, receives, and tracks department and grant inventory of supplies.
  • Assists in preparing program materials, flyers, social media content topics, and handouts.
  • Prepares and maintains division records such as County Wellness and grant programs.
  • Performs general clerical duties such as photocopying, filing, faxing, typing, and deliveries.
  • Participates in training/educational opportunities, committees, and work-related meetings as required.
  • Performs all work duties and activities in accordance with County policies, procedures, and safety practices.
  • Attends work regularly at the designated place and time.
